Sr./Lead Operations Support Specialist

At the SF Fed, the Public Engagement group is driving the Bank’s journey to be a community-engaged organization. Our team develops trusted relationships with business, community, and government stakeholders to understand the needs of the Twelfth Federal Reserve District, deepen public awareness of the SF Fed’s work, and strengthen public trust in the Federal Reserve System.

The Lead Operations Support Specialist will report to the Business Operations Manager and support the SF Fed’s commitment to meaningful engagement and relationships in the communities we serve by providing specialized administrative, clerical, logistical, and analytical support to the Public Engagement team.

Top Responsibilities:

  • Lead team projects, providing guidance to less experienced employees
  • Provide support for a variety of Public Engagement operations, including but not limited to:  personnel and organization changes and events, onboarding/off-boarding, training operations, website/intranet updates, communications, budget and expense tracking, purchasing, asset tracking, and workspace management.
  • Independently design and create reports and participate in cross-functional projects that require complex project coordination in response to evolving business needs.
  • Support three Public Engagement officers, including making travel arrangements, arranging appointments and office events, responding to inquiries in a timely manner, and greeting visitors.
  • Data entry, manipulation, and reporting using one or more technologies. Verify entries for accuracy and completeness.  Can create new reports and analyses using the system.  Act as knowledge resource for technology and applications specific to the department operations; may train others.
  • Partner with key stakeholders and/or managers to manage vendor relationships. Work closely with Public Engagement staff and contracted service providers to assess internal needs and vendor performance. Perform cost and spend analysis to identify cost effective solutions for existing and future contracts.
  • Project manage in-person and virtual events, including registration coordination and attendee communications.  Partner with cross functional leaders to ensure successful project completion.

Additional Responsibilities:

  • Uses group-specific knowledge to support the daily operations of Public Engagement; support multiple areas of the group while maintaining expertise in those areas
  • Collaborates and partners with Public Engagement business lines and the Bank’s support areas.
  • Executes special or continuous research and data analysis tasks. Analyzes problems, determines approach, compiles and analyzes data.
  • Make recommendations for new procedures and implement them; make recommendations for improvement to existing processes
  • Assist with other operational tasks as necessary

Requirements:

  • Associate degree or equivalent experience
  • Lead role requires 4+ years of relevant work experience and the Senior role requires 2+ years of relevant work experience
  • Proficient in Microsoft Office Suite
  • Advanced/specialized understanding of the relevant group operations, policies, and procedures
  • Experience with database-driven software
  • Experience collecting, transforming, analyzing, and reporting on data
  • Experience working cross-functionally to meet internal and external client needs
  • Experience working independently to complete tasks
  • Experience with Cvent, Salesforce, Smartsheet, SharePoint, and Ariba or similar applications preferred.

Base Salary Range:

Lead Operations Support Specialist (4+ years of relevant experience):

Min: $78,200 - Mid: $101,700 - Max: $124,900 (Location: San Francisco)

Sr. Operations Support Specialist (2+ years of relevant experience):

Min: $65,700 – Mid: $85,300 – Max: $104,900

Final salary and offer will be determined by the applicant’s background, experience, skills, intern
