Administrative Specialist

 

The administrative specialist provides high-level administrative support for the Department of DUHS Nursing Support. This position reports to the Executive Director of Nursing. The ideal candidate will apply knowledge and skills to resolve complex administrative problems independently or with others.

 

Duties and Responsibilities of this Level

 

Provides administrative support to Executive Director of DUHS Nursing Support

Serves as primary coordinator for special nursing projects such as certification and retirement recognition programs.

  • Processes payments

  • Prepares certification letters with pins

  • Generates retirement certificates

Manages the office ensuring there are adequate supplies, equipment is operating properly, answering and triaging calls

Assists in the development of department budgets, completes monthly variance reports and reconciles budget expenditures.

Coordinates nursing sponsorships including selecting giveaways, coordinating with Marketing, Talent Acquisition and processing payments

 

Serves as the Concur administrator for the department

 

Serves as the liaison between the department and the International Office in matters related to visa documents and employment for foreign nationals

  • Works with Clinical Operations Director and International Advisors to understand the forms and documents that need to be prepared and collected for visa sponsorship and employment

  • Ensures that documents sent to the International Office are complete and accurate

  • Receives updates, reports and similar information from the International Office

  • Completes Green Card Request forms

  • Completes Offer Letters for International RNs

  • Gathers data and creates reports relating to nurse retention and staffing

 

Support the DUHS Nursing and Patient Care Services Career Development Center.

  • Manage the Career Development Center website.

  • First contact for team members interested in career development.

  • Track metrics for center

  • Prepare presentations for the department.

 

Preferred skills and experience

  • Strong oral and written communication skills.

  • Excellent MS Office skills

  • Excellent presentation skills

  • Ability to empathize with employees, and guide them according to their requirements.

  • Understanding of the payroll mechanism

  • Passion for teamwork

 

Minimum Qualifications

 

 

Education

High school education or equivalent with five years of administrative OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE. support experience of increasing variety, complexity and demonstration of work leadership. Two years of post-secondary education with three years of experience.
