SUMMARY:
Prospect, develop, and manage catering accounts (existing and prospective new accounts) through the entire sales process as it relates to catering events at the Resort (private dining rooms, special events, parties, holiday parties) while maximizing catering revenue, room rental fees, and all venues at the Resort, including Crystal Sky and Bok Homa.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following but are not limited to:
- Maintain a positive, service-oriented approach with a hands-on work ethic.
- Collaborate with the restaurant operations team for special requests and communicate all client expectations.
- Achieve catering booking revenue goals, handling catering only events to include groups requiring less than ten (10) rooms.
- Must meet/exceed weekly outside sales prospecting call goals.
- Manage and coordinate all aspects of catering only group bookings including groups with less than ten (10) rooms, detailing and coordination of all catering and audio-visual needs and any on-site services or needs for groups.
- Communicate any and all group details/changes to all involved departments.
- Must develop good relationships with internal departments and teams.
- Strong negotiating skills for contracting to include knowledge of room rates, room rental fees, and menu pricing according to client’s budget.
- Must provide open communication with Sales team members and daily turnover of leads for potential business to the respective assigned Sales territory manager
- Must have strong awareness of services, amenities, venue locations and Sales meeting and banquet space at the Resort and outlying properties. Must be able to develop strong relationships with inter-departments and teams.
- Coordinate all aspects of group bookings to include contracting, obtaining payment for event, deposits, detailing and coordination of all banquets, catering and audio-visual needs, and any on-site services or needs for Groups.
- Must secure payment arrangements including deposits and obtaining signatures on all BEO’s.
- Accurately detail, draft, submit, and distribute all needed Banquet Event Orders (BEO’s) according to the timeliness and scheduling needs of the facility. Create and distribute Group Resumes detailing the portfolio of the Account, their booking and group details of events in a timely manner.
- Must attend weekly Sales meetings.
- Generate all inter-departmental and external correspondence, relating to specific property/activity or any special needs associated with group room business or catering. This includes but is not limited to: special billing procedures, VIP reservations, transportation, shipping and receiving needs, dietary restrictions, amenity requests, engineering and maintenance, security issues, spa arrangements, area attractions, and emergency care information.
- Upsell property venues and services by capturing all possible additional ancillary revenue through the sale of created special events, activities, venues, services and food and beverage options.
- Maintain daily activity reporting in Sales Force/Amadeus as it pertains to bookings, accounts, sales calls, etc.
- Establish and ensure accurate client billing in accordance with the property Accounting Department policies and procedures, prior to all events. Review all invoices before they are sent to a client for collection.
- Conduct property tour/site visits with prospective clients, as required.
- Solicit new accounts within assigned booking parameters. (catering only group and groups with less than ten (10) rooms on peak).
- Maintain aggressive weekly telephone, site inspection, and personal goal calls.
- Follow up promptly on leads. (Within four (4) hours).
- Achieve or exceed budgeted catering goals and revenues as set forth by Annual Sales Budget.
- Prospect for new catering business using a wide variety of resources including phone calls, outside sales calls, trade shows, attending community functions, sales blitzes, internet prospecting, supplier partnerships, etc.
- Effective use of computers software, specifically Sales Force/Amadeus, Micro Soft Office, and Excel.
