The University Miami/UHealth Department of Faculty Affairs has an immediate opportunity for an Associate Ombudsperson. The Associate Ombudsperson will support the Office of the Ombudsperson, and acts as an initial facilitator for constituent visitors. The Associate Ombudsperson supports the Ombudsperson in the duties as defined below, and plays an important administrative role in the Office of the Ombudsperson.

Core Job Description:

1. Provides administrative support for the Office of the Ombudsperson.

2. Provides initial assessment and support for individuals seeking assistance of the Ombudsperson including providing advice, initial conflict resolution.

3. Establishes guidelines for referral to ombudsperson, confidential review of cases with the ombudsperson with referral to them for further action as appropriate.

4. Develops and executes plans aimed at increasing awareness of the Office of the Ombudsperson at the undergraduate medical education, graduate medical education, graduate, postdoctoral and faculty levels.

5. Maintains confidentiality of communications with visitors2, assists the Ombudsperson in preparing periodic reports to the School community.

6. Prepares and submits an annual Report to the Dean and the School Faculty Council based on anonymous aggregate data discussing trends in the reporting of issues or concerns, identifies patterns or problem areas in existing policies and practices, recommends revisions and improvements and assesses the climate of the campus.

7. Participates in professional development.

8. Adheres to University and unit-level policies and procedures and safeguards University assets.

Department Specifics:

1. Administers Faculty Success platform

2. Trains users of faculty success

3. Assists faculty with their faculty success profiles

4. Supports the department with administrative tasks, etc.

5. Maintains faculty affairs website.

6. Assists in generating data for other faculty affairs platforms

Core Qualifications:

Education:

  • Master’s degree in relevant field

Experience:

  • Minimum 3 years of relevant experience

Knowledge, Skills and Attitudes:

  • Ability to accurately prepare and maintain records, files, reports and correspondence

  • Ability to analyze, organize and prioritize work under pressure while meeting deadlines.

  • Ability to communicate effectively in both oral and written form.

  • Skilled in collecting, organizing, and analyzing data.

  • Ability to exercise sound judgment in making critical decision
