JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Pennsylvania State University is seeking a candidate for an Administrative Assistant in the senior director's office in the HUB-Robeson Center. The Administrative Support Assistant will be a detail-oriented and organized individual who will provide direct administrative and professional support. This position will perform complex tasks with minimal supervision. 

The successful candidate will be responsible for the following:  

  • Provide principal administrative support to the Senior Director, HUB-Robeson Center, Student Affairs Facilities, and Staff Development.

  • Plan, organize, and coordinate daily office activities and workload.

  • Coordinate and maintain the Senior Director's calendar.

  • Serve as a liaison between the Senior Director's office and the members of the various staff housed in the HUB-Robeson Center, University officials, students, and community members.

  • Prepare reports, proofread documents, prepare confidential correspondence and emails, and provide and exchange information.

  • Maintain and update databases, websites, records, and files.

  • Arrange travel and process documents and purchasing card transactions.

  • Plan and coordinate meetings, special events, menus, and catering, including designing invitations and programs.

  • Prepare assessment documents and reports.

  • Provide support for the HUB-Robeson Center Advisory Board and other student and staff entities by scheduling meetings, attendance at those meetings, and taking and preparing minutes.

  • Serve as a Notary Public.

  • Represent the department on various committees and serve as the parking permit assistant for Student Affairs.

  • Respond to routine and moderately complex questions/issues concerning unit/University policies, processes, and procedures from internal and external contacts.

  • Support the planning and coordination of moderately complex projects.

  • May assist in the supervision and training of students and assigned support staff.

  • Serve as a resource to others on a variety of subjects including office equipment, software application usage, CCURE access, and information processing procedures.
