JOB DESCRIPTION AND POSITION REQUIREMENTS:
The Pennsylvania State University is seeking a candidate for an Administrative Assistant in the senior director's office in the HUB-Robeson Center. The Administrative Support Assistant will be a detail-oriented and organized individual who will provide direct administrative and professional support. This position will perform complex tasks with minimal supervision.
The successful candidate will be responsible for the following:
Provide principal administrative support to the Senior Director, HUB-Robeson Center, Student Affairs Facilities, and Staff Development.
Plan, organize, and coordinate daily office activities and workload.
Coordinate and maintain the Senior Director's calendar.
Serve as a liaison between the Senior Director's office and the members of the various staff housed in the HUB-Robeson Center, University officials, students, and community members.
Prepare reports, proofread documents, prepare confidential correspondence and emails, and provide and exchange information.
Maintain and update databases, websites, records, and files.
Arrange travel and process documents and purchasing card transactions.
Plan and coordinate meetings, special events, menus, and catering, including designing invitations and programs.
Prepare assessment documents and reports.
Provide support for the HUB-Robeson Center Advisory Board and other student and staff entities by scheduling meetings, attendance at those meetings, and taking and preparing minutes.
Serve as a Notary Public.
Represent the department on various committees and serve as the parking permit assistant for Student Affairs.
Respond to routine and moderately complex questions/issues concerning unit/University policies, processes, and procedures from internal and external contacts.
Support the planning and coordination of moderately complex projects.
May assist in the supervision and training of students and assigned support staff.
Serve as a resource to others on a variety of subjects including office equipment, software application usage, CCURE access, and information processing procedures.
