Work requires broad and comprehensive experience and skills, and a thorough knowledge of organization policies and practices. Prepares correspondence, reports, presentations, etc. Undertakes projects at direction of senior manager. Classification into this job family requires the incumbent to report to a manager at the Senior Manager level or above, and to perform the duties associated with this job family and the designated level. You are responsible for learning and using Noblis’ standard principles, concepts, processes, structure, techniques, tools, and methodologies to solve routine real-world problems using basic skills. You apply particular project or technical/functional area knowledge and concepts and operate with close supervision, following direction and guidance from others. You engage independently in activities such as research, data gathering, data manipulation and interpretation; you consolidate findings and identify key themes from gathered data and analysis. You begin to demonstrate personal flexibility through learning and self-development and the ability to communicate effectively with others.
Noblis ESI is looking for a cleared Administrative Assistant.Candidate will perform a variety of administrative duties providing daily support in transactional and general administrative processes to moderately complex tasks which demands a high degree of autonomy and latitude in planning; organizing; and decision making to fulfill work requirements.
Job Responsibilities:
- Greet and escort visitors and issue visitors’ badges.
- Monitor front doors and answer/distribute phone calls to appropriate personnel.
- Receive, distribute and send mail and packages as required
- Order and stock office and kitchen supplies and equipment
- Collect and input timesheet information into automated accounting system / assist with labor corrections.
- Process purchase requisitions, invoices for consultants and subcontractors, and prepare travel and expense reports.
- Assist in planning; scheduling; organizing; and execution of meetings; events; conferences; and off-sites.
- Prepares correspondence, reports, presentations, etc. utilizing Microsoft Suite of products (Word, Excel, Powerpoint)
- File, archive, and retrieve documents using Windows Explorer, Microsoft Teams, and Microsoft SharePoint
- Accurately type/revise and format presentations, reports, and other documents per Noblis standards and guidelines
- Create and publish Noblis ESI Weekly newsletter.
- Manage Noblis ESI Recognition Program
- Collaborate, interact, and partner with other Shared Services and Executive personnel to facilitate and accomplish company directives and goals.
- Function as a HR liaison between ESI and Noblis, performing HR duties as needed.
- Participate in special projects as required by Business Operations Director
Required Qualifications
- US Citizenship with the ability to obtain and maintain a TS/SCI with CI Poly.
- Bachelor’s Degree with 2 years related experience (6 years additional related experience may be considered in lieu of a BS degree)
- Strong interpersonal skills and communication skills
- Detail-oriented
- Ability to prioritize work and able to handle a multitude of assignments
- Working knowledge of office equipment, like printers, copiers
- Proficiency in MS Office (MS Outlook, Word, Excel, and PowerPoint)
Desired Qualifications
- Active TS/SCI Clearance with CI Poly
