What you will do:
- As the administrative support to the SunCoast Region Legal Counsel (RLC), the incumbent is responsible for organizing and providing a wide variety of complex administrative, secretarial, and clerical duties, relieving the RLC of as much administrative detail as possible. Maintains confidentiality of sensitive documents and communications, adhering to privacy and data security protocols.
- Answer, screen and direct phone calls from internal programs and external clientele. Screens all incoming mail, deciding whether the personal attention of the RLC is required, routing to the appropriate staff as necessary. Assigns all incoming legal cases and assignments to the appropriate attorney and staff. Maintains multiple associated tracking systems.
- Maintains appointment calendar for RLC, schedules appointments and meetings as needed and reminds RLC of upcoming appointments, hearings, etc.
- Indexes and maintains all litigation files; administrative hearings and informal hearing case files with 100% accuracy. This position is responsible for archiving all closed case files in accordance with established Region procedures.
- Serves as a backup to the administrative assistants by assisting the RLC in review and preparation of documents related to employee and personnel actions including administrative litigation. Compiles and analyzes data from employment files to aid the RLC in advising management and Human Resources on employment practices. Assists the RLC in preparing discovery requests and exhibits for Public Employee Relations Commission (PERC) hearings and assists the RLC in developing responses to Equal Employment Opportunity Commission (EEOC) complaints when needed.
- Handles general records request assignments from Headquarters. This specific job duty may require the incumbent to request closed case files from the Records Management Agency in accordance with established Region procedures.
