Administrative Assistant for Philander Chase Conservancy (PCC) and Kokosing Nature Preserve (KNP)

Kenyon College is conducting a search for a qualified candidate to fill the position of Administrative Assistant for Philander Chase Conservancy (PCC) and Kokosing Nature Preserve (KNP). Reporting to the Director of the Philander Chase Conservancy, Kenyon College's non-profit land trust, the administrative assistant has primary responsibility for clerical support, legal record keeping, and meeting and event support for the Conservancy and for Kokosing Nature Preserve, Kenyon College's non-profit conservation burial ground. The hourly rate of pay for this full-time with benefits position is $17.96.
Essential Functions:
- Provide administrative assistant support to the Director on easement and property transactions including preparation and proper filing of legal documents and contact with landowners.
- Assist with the application process for the Local Agricultural Easement Purchase Program of the Ohio Department of Agriculture that involves contact with the landowners, township trustees, the Regional Planning Commission, Knox Soil and Water, the county Map Department, the Recorder’s Office and the Auditor’s Office. Attend several meetings per year with colleagues.
- Serve as secretary of the PCC Board of Directors and draft meeting minutes for all full board and committee meetings.
- Provide planning and logistical support for three full board meetings annually and ongoing monthly committee work, including meeting logistics (housing transportation, meal planning, etc.), management of documents in the OnBoard system, and meeting packet preparation.
- Assist with publication and oversee distribution of the Year in Review and other newsletters and mailings.
- Assist the Green Burial Coordinator and the Secretary of the KNP Board of Directors with preparation and management of the annual board meeting and any other special meetings, including meeting logistics, management of documents in the OnBoard system, meeting packet preparation and minutes.
- Oversee PCC and KNP websites and social media presence, including posting on PCC and KNP Facebook, Instagram, and LinkedIn accounts.
- Organize and facilitate annual monitoring of properties that includes visits to the properties, contact with landowners and preparation of monitoring reports on agricultural and conservation easements The administrative assistant will be assigned a portfolio of protected properties to monitor.
- Work with colleagues on events that include landowner/partner meetings/events and tours during major College events such as Family Weekend, Earth Day, Reunion Weekend and events at Kokosing Nature Preserve.
- Manage the Friends of PCC membership list and stewardship/gift acknowledgement process.
- Support the work of PCC and KNP student interns and student projects for the environmental studies major and other Kenyon majors/departments.
- Provide general administrative support for PCC and KNP related to budgets, purchasing cards, filing, travel support, professional memberships, phone calls, and calendar support.
- When needed, provide assistance and support to the Green Burial Coordinator for services and burials at Kokosing Nature Preserve.
- Maintain inventory for office supplies, stationery and publications used for Philander Chase Conservancy and Kokosing Nature Preserve.
- Promote, oversee and manage reservations for the Reception Center at Kokosing Nature Preserve.
- Support the Land Trust Accreditation Commission re-accreditation process every 5 years.

Working Conditions:
Work is generally performed in the office environment and requires the ability to operate standard office equipment. The ability to occasionally walk challenging terrain and lift items weighing 30 pounds or less and move tables and chairs when necessary for events is required. The ability to obtain College driver certification is required. Occasional weekend hours are required. Willingness to be “on call” for KNP burial assistance.
