About the role

Clark Nexsen is seeking an Accounting Specialist who will join an accounting team responsible for supporting a large architectural and engineering firm.

General responsibilities include but are not limited to the following:

  • Entry of accounts payable vouchers (trade, consultants), proper project assignment, weekly payment processing of vouchers.
  • Review consultant contracts
  • Obtaining and maintaining size self-certification forms, W9 forms and certificate forms from vendors /consultants.
  • Assist Principals / Project Managers with contracts and invoices.
  • Maintaining up-to-date filing of consultant invoices, contracts and amendments into vendor and contract files.
  • Maintaining consultant spreadsheet(s).
  • Reconciliation of air travel transactions.
  • Reconciliation of corporate credit cards.
  • Processing expense vouchers and expense advances for employees, including review of allowable/non-allowable expenses per IRS and FAR guidelines.
  • Processing cash receipts and assigning them to correct projects for client billing.
  • Maintaining up-to-date filing of employee expense vouchers and vendor invoices.
  • Monitor employee advance ledger with general ledger.
  • Providing word-processing, data entry, copying, scanning, printing and other general administrative support functions as needed in support of the Controller and Accounting Manager.
  • Providing back-up support to other activities within the department such as billing, payroll, and travel.
  • Other tasks, as assigned.

Education, Technology, and Experience

  • An Associate’s Degree with 7-10 years of accounts payable experience or 4-year Bachelor’s Degree with no less than 2 year experience. Experience working in an architectural, engineering, or construction firm is preferred.
  • The Accounting Specialist should be able to effectively utilize company software programs for e-mail and information management. Current programs include:
    • Deltek Vision (PAT preferred)
    • MS Excel (advanced skills strongly preferred)
    • Acrobat/Bluebeam
    • MS Outlook
    • MS Word
    • Quickbooks
    • Microsoft D365

Additional Knowledge, Skills, and Abilities

  • Ability to prepare effective and concise documents.
  • Ability to communicate with management, employees, and vendors in a courteous manner about A/P voucher/employee expense and other accounting related issues.
  • Have a client-oriented attitude with a desire to provide outstanding professional services.
  • Be dedicated to his or her professional development as well as the success of colleagues and the firm as a whole.

Physical Requirements

Work is sedentary and often performed in an office setting. Work area is lighted, heated, and ventilated. This position may require extended periods of standing, sitting, as well as some repetitive movements, bending and lifting of minimal weight. Workplace Flexibility

We have selected two common days in the office to nurture collaboration and innovation and to support learning and growth through engagement with colleagues. We are asking everyone to be present on Mondays and Thursdays, with a required third day that will provide additional flexibility and be set between you and your supervisor (with consideration given to your project team members and clients).
