Role Description
The Associate Director of Hospitality Services is a full-time, 12-month, professional position in the Office of Hospitality Services, with the primary responsibility of administering, facilitating, and supporting the event and space reservation functions utilizing the 25 Live reservation system. This position Reports to the Director of Events & Conferencing and provides a customer service approach to the administration of all internal and external conference and space rentals and reservations for the University. Working closely with the Associate Vice President of Finance and the Director of Events and Conferencing, focuses on creating and maintaining a dynamic student workforce with emphasis on promoting learning, and business skill development in a diverse multi-cultural setting. The Associate Director represents the department during evening and weekend meetings and events as warranted.
Major Duties and Responsibilities
- Develops, implements, and conducts campus policies and training on events and conferences for staff to ensure efficient functioning of events and conferencing functions.
- Oversees the overall planning, execution, and evaluation of events and conferences in collaboration with other management roles.
- Administers the space scheduling process and logistics for all internal and external events utilizing 25 Live reservation system.
- Ensures accurate tracking and administration of event space reservations for non-academic activities at various locations on campus including but not limited to athletic fields and arenas, performance and programming spaces, classrooms, meeting rooms, and conference facilities. Organizes and attends weekly logistical meetings to coordinate support services including catering, campus police, facilities personnel, campus activities and other areas, reviewing upcoming events and helping resolve any conflicts.
- Assigns resources and coordinates event support services with campus partners including but not limited to Information Technology, Student Center Operations, Custodial, Campus Police and Trades staff.
