Job Description

HII- Mission Technologies is seeking a skilled and organized Mid-Level DoD Travel Lead to support our team by managing and overseeing travel-related processes in a DoD contracting environment. The ideal candidate will have a strong understanding of DoD travel policies, experience in managing expense authorizations and reports, and the ability to reconcile travel data efficiently. This role also includes acting as a proxy for expense authorizations and timesheets, maintaining travel tracking systems, and ensuring compliance with DoD and company policies.
 

Essential Job Responsibilities

  • Oversees and manages the operational aspects of ongoing projects and serves as liaison between project management and planning, project team, and line management. Reviews status of projects and budgets; manages schedules and prepares status reports. Assesses project issues and develops resolutions to meet productivity, quality, and client-satisfaction goals and objectives. Develops mechanisms for monitoring project progress and for intervention and problem solving with project managers, line managers, and clients.
  • Serve as a proxy for expense authorizations, reviewing and approving travel expense requests in accordance with DoD and company policies.
  • Submit expense reports, ensuring accuracy, compliance, and timely submissions.
  • Reconcile travel-related reports, identifying discrepancies and resolving issues to ensure accurate financial tracking.
  • Act as a timesheet proxy, assisting with timesheet approvals and ensuring timely and accurate submissions by employees.
  • Create and maintain an expense report tracker to monitor submissions, approvals, and reimbursements.
  • Generate and distribute travel and expense reports to management, providing insights and ensuring proper documentation.
  • Provide guidance to employees on DoD travel regulations, including expense eligibility, per diem rates, and submission processes.
  • Coordinate with finance and accounting teams to ensure proper allocation and reconciliation of travel expenses.
  • Support the implementation and maintenance of travel-related systems, processes, and tools to improve efficiency and compliance.
  • Serve as a point of contact for travel-related inquiries, resolving issues and providing updates to employees and stakeholders.
     

Minimum Qualifications

  • 3 years relevant experience with Bachelors in related field; 1 year relevant experience with Masters in related field; or High School Diploma or equivalent and 7 years relevant experience.
  • Strong knowledge of DoD travel policies, including the Joint Travel Regulations (JTR).
  • Proficiency in managing and reconciling expense reports and travel documentation.
  • Experience with travel management systems and financial software (e.g., Deltek Costpoint, Concur, or similar platforms).
  • Proficiency in Microsoft Excel, including the ability to create and manage tracking systems (e.g., spreadsheets with pivot tables, filters, and data analysis tools).
