The Operations Assistant is responsible for providing operational technical/clerical support within the department. Using independent judgment in carrying out responsibilities and takes initiative to handle routine and semi-routine matters. Duties will be performed under the direction and supervision of a designated Manager or Supervisor. Including but not limited to preparation of accounts payable, billing, filing, project relationships and interactions, and performing non-department specific project tasks.
What You Will Do:
- Overall responsibility for coordination of day-to-day and short and long-term projects.
- Liaise with the other country coordinators on the overseas activities.
- Prepare and submit invoices to clients in a timely manner.
- Maintain subcontractor database.
- Monitor and maintain subcontractor payable email inbox.
- Follow up of AR with the clients and provide regular update to the Project Manager.
- Prepare and submit AP.
- Facilitate inter-department relationships critical to project completion and success.
- Provides support to departmental needs.
- Develops and maintains subcontractor database.
- Creates and maintains files in a timely and organized manner.
- May perform general or technical filing as instructed by Supervisor.
- Performs routine data search and project backup of computer files as required.
- Maintains inventory of PPE, other equipment and office supplies for the department.
What You Will Need:
Education and Experience
- Bachelor's degree or recognized equivalent in appropriate technical discipline is preferred.
- 0-5 years of related experience, previous related industry experience preferred.
Knowledge, Skills, and Abilities
- General knowledge of ISO Standards.
- Appropriate certification and/or licenses in area of specialization.
- Knowledge of company policies and procedures
- Thorough understanding of the project coordination
- Knowledge in computer-based project management, spreadsheet, database and graphical presentation programs and, preferably, word processing.
- Knowledge of company business policies and procedures
Reporting Relationships:
Reports directly to a Reports to a Supervisor or Manager.
