The Position:
The Operations Executive Assistant provides high-level administrative support to the EVP of Operations and plays a critical role in ensuring the smooth functioning of operational activities. This role requires a highly organized, detail-oriented, proactive individual capable of managing complex schedules, facilitating cross-departmental communication, and handling operational documentation and processes. The Operations Executive Assistant serves as the first point of contact for operations-related inquiries and provides essential support to the operations team. Responsibilities Include:
- Coordinate and schedule internal meetings, including preparing necessary agendas, materials, equipment, and logistics
- Manage the EVP/COO's calendar, schedule appointments, and prepare detailed itineraries, including travel accommodations
- Maintain travel and expense accounts, including form preparation and figure reconciliation
- Assist in coordinating operational projects and initiatives, ensuring timely follow-ups and completion
- Compile and maintain operational reports, documents, and records to support decision-making
- Support departmental processes, including monitoring and updating operational workflows
- Act as the primary point of contact for the operations department, addressing routine inquiries and directing communications appropriately
- Facilitate effective communication across teams to ensure alignment on operational priorities
- Maintain accurate and organized filing systems, including both hard and electronic files related to operational activities
- Prepare and edit operational documents, including Excel spreadsheets, Word documents, and PowerPoint presentations
- Provide support for operational initiatives, including research, data gathering, and creating presentations
- Track project milestones and assist in ensuring operational projects meet deadlines
- Handle sensitive information with the highest level of confidentiality, honesty, and integrity
Schedule:
- Standard business hours, Monday-Friday 8am-5pm, 40 hours per week
- Will have opportunity to work remotely.
Requirements
- Bachelor’s degree, associate degree, or pursuit of either is preferred
- Minimum of 5 years of experience in a corporate office setting, preferably supporting C-Level executives
- Experience in operations, project management, or similar roles is highly desirable
- Proficiency in Microsoft Suite (Excel, Word, PowerPoint, Outlook) is required
- Strong organizational skills with attention to detail and the ability to manage multiple priorities
- Excellent written and verbal communication skills
- Professionalism, problem-solving, and decision-making abilities
- Ability to work under pressure and adapt to tight timelines
- Experience managing operational documents, workflows, and processes
- Willingness to learn systems for enhancement of Operations’ organization efficiencies, such as Smartsheet, Workday etc
