Having recently completed a new strategic framework, the Natural History Museums of Los Angeles County—including NHMLA at Exposition Park, La Brea Tar Pits and museum in mid-Wilshire, and the William S. The Natural History Museum of Los Angeles County is seeking an Administrative Coordinator for our Finance department. The Administrative Coordinator works closely with the Controller at the Natural History Museum. It is an exciting time as we embark on new journeys of becoming a museum of, for, and with L.A.
Responsibilities for this position include, but are not limited to:
Acts as centralized communications liaison for the Finance Department.
Prepares memos, meeting agendas, meeting notes/minutes, email correspondence and letters as directed. Replies to correspondence as directed. Drafts memo, letters and reports as directed for review by supervisor. Prepares and assembles documents including copying and mail processing as necessary.
Schedules meetings and provides logistical support for meetings including registration, refreshments and audio-visual equipment. Arranges for parking for external guests and greets guests at the Security Desk and escorts them to the division.
Coordinates cash control procedures with Guest Relations staff. Ensures that cash change needs are met, including placing change orders and scheduling physical cash control process around holidays and other operational restrictions to physical space. Acts as one half of this dual control process.
Gathers data for general information purposes or special reports, contacting other departments, employees and external parties for needed information and drafts reports as requested.
Maintains inventory for general office supplies for Museum and handles all orders when needed.
Reviews incoming bills and/or invoices and processes for payment. Prepares and submits electronic Desktop Deposits, purchase orders, expense reports, travel requests and other similar financial transactions for approval by department management.
This position has the following requirements:
High school diploma, GED or equivalent required.
Bachelor’s degree in Business Administration or relative field of study highly preferred.
Minimum of 3 years of prior administrative or coordinator experience required.
Must act with integrity and an ability to carry oneself with the demeanor, decorum and professionalism needed for the position and its interaction with others.
Experience using a personal computer and with MS Office applications and G-Suite of applications.

The Natural History Museum of Los Angeles County is seeking applicants who have demonstrated experience and commitment working with a diverse community. Hourly range for this position is $23.79 - $25.58 based on experience plus excellent benefits. This is a full time regular, non-exempt position.
