JOB SUMMARY
Works under direction to assist with management of administrative and/or business functions of department, division, or unit.
This position will be responsible for the following duties for 10 providers:
- Manage emails, calendars & meetings
- Food, coffee & lab coats orders
- Epic letters Fax/route documents
- Travel arrangements
- Compose and type correspondence
- MyTime management for the division
- Maintain CME expenditures for 10 providers
- Reconciling Onecard Schedule & attend financial meetings
- Handle incoming mail
- Maintain schedules for Procedures and clinic appointments for all 10 providers via EPIC , Qgenda, and Faculty calendars
- Assemble data and prepare required reports as needed
- Process reimbursements for all expenses incurred
- Process absence request (FSC/Cancellation Forms) for all 10 faculty
- Record retention
- Maintain credentialing
- Maintain professional memberships
- Assist with GI CME conference as needed
- Qgenda scheduling review
- Assist in all areas needed at the request of Team members/management
- Training New Administrative staff upon request

JOB DUTIES
- Relieves supervisor of various internal administrative duties, which require thorough understanding of, and adherence to functions, programs, and policies of unit and university. Reviews department policy manuals periodically to update and institute changes as necessary. May provide comprehensive administrative support to Chairman, Vice Chairman, Director, Department Manager, or other upper level administrator.
- Monitors and maintains unit's budget; provides input to supervisor; prepares and submits various budgetary reports; assists supervisor with annual budget process. May have delegated approval authority for all dollar level expenditures for designated entity; coordinates process for items requiring Chair level approval, and/or has delegated approval authority for these items.
