About the role

The ARCHES Project is looking for a Compliance and Systems Associate Director to join their team! The Compliance and systems Associate Director will be responsible for coordinating and implementing data and systems compliance for HYS. This position will directly supervise program staff, oversee program operations and workflows, develop policies and procedures, as well as ensure positive client outcomes related to long-lasting solutions to homelessness. The Associate Director will commit to maintaining grant compliance, track data and compile reports, network and maintain positive partnerships with community agencies, respond to and navigate emergencies as they arise, as well as participate as a member of the department's Management Team. This is a grant-funded position located at the ARCHES Project and is renewable based on the continuation of project funding.

MINIMUM QUALIFICATIONS The requirements listed below are representative of the knowledge, skill, and/or ability required.

EDUCATION and/or EXPERIENCE

  • A Bachelor's degree in Administration, Social Services, or a related field

  • Two years of experience in administration or program management/coordination in a social service or community services setting.

  • Four years of supervisory experience.

  • Equivalent combination of education and experience may be considered.

CERTIFICATES, LICENSES, REGISTRATIONS

  • Driver qualifications are required for this position. Valid driver license, insured vehicle available for use on the job, and a satisfactory drive record for the previous three years are required

  • Candidate must pass a comprehensive MWVCAA background screening prior to employment.

  • Basic Life Support/First Aid Certification is required within first 30 days of hire.

  • Candidate must pass pre-employment and random drug/alcohol screenings.

KNOWLEDGE, SKILLS, AND ABILITIES

  • A preference will be given to those experience managing/coordinating programs working with vulnerable at-risk populations, including people experiencing homelessness or at-risk of homelessness.

  • Knowledge of data bases and tracking software

  • Demonstrated proficiencies in Microsoft Office (including Outlook), videoconferencing platforms, and web tools.

  • Must possess excellent planning, organization, and time management skills.

  • Possesses highly effective interpersonal skills, with demonstrated ability to effectively communicate with diverse groups orally and in writing.

ESSENTIAL DUTIES AND RESPONSIBILITIES This job description is not intended to be all-inclusive. Employee will also perform other reasonably related business duties as assigned by immediate supervisor and other management as required.

  • Creates detailed training plans and expectations for each position within HYS/CRP.

  • Ensures the training calendar is maintained, training programs are implemented, and that agency trainers are scheduled for training sessions.

  • Oversees the implementation of the Need Nav data system, including the establishment of workflows, procedures, and reports needed for system efficiency.

  • Oversees the implementation and processes associated with Health Related Social Needs (HRSN).

  • Oversees processes and work plans to ensure all programs follow data standards. Ensures a process for complete and accurate data reporting.

  • Oversees processes and work plans to ensure all programs follow funders expectations.

  • Creates monitoring and audit compliance expectations for all CRP/HYS Programs.

  • Prepares quality written reports as required by the program, agency, and external funding sources.

  • Oversees and ensures compliance with agency quarterly and annual reports and application of the Homeless Management Information System (HMIS).

  • Models full compliance with MWVCAA Safety Policy.
