  • Greets and directs visitors to the proper location within the department.
  • Responds to telephone inquiries and/or routes to appropriate person or division.
  • Assists with typing correspondence, letters, and reports for department.
  • Maintains office inventory and equipment by anticipating supply needs and expediting supply orders. Receives incoming deliveries and sort supplies in appropriate places and notify appropriate programs of deliveries.
  • Assists with maintaining employee’s files as required. Notarizes documents for department and outside agencies, as needed. Collect monies and balances collections. 
  • Assists and respond to verbal and written requests for information. Assists co-workers and staff members with duties. Provide routine filing and routing of documents.
  • Assists with reporting TCOLE hours for training held at the Academy.  
  • Assist with maintaining the Academy website.
  • Assist with special projects assignments as needed. 
  • Participates in activities and duties related to emergency management during a local state of disaster as directed by appropriate county managers.

MINIMUM REQUIREMENTS

  • High School Diploma/GED
  • 1-year job related experience in an office environment.
  • Valid Texas Driver’s License
  • U.S. Citizen or U.S. Permanent Resident
  • Good computer and typing skills; knowledge of computer applications; skilled in data entry, intermediate working knowledge of Microsoft Office Suite or similar software, and Applicant Tracking Software systems.
  • Good verbal and written communication skills; Ability to interact and deal effectively with the public and all levels of employees; Strong interpersonal and organizational skills; Ability to complete assigned tasks within tight deadline and to prioritize own work; Ability to interpret policies and to implement procedures. The ability to manage sensitive and confidential matters is required. Ability to work in a high customer contact area.
