What You’ll do
We are currently seeking a dedicated Program Operations Generalist (Proposals). The Program Operations Generalist (Proposals) plays a vital role in supporting our company's efforts to acquire and secure new business opportunities. In this position, you will be responsible for assisting in the creation, tailoring, and management of proposals, as well as providing essential support in managing the RFP/Q/I process. The main objective is to contribute to effectively addressing partner and client needs while facilitating the showcasing of our value and differentiators through proposals and RFP/Q/I responses. Day-to-day tasks include:
- Proposal Support:
- Assist in creating and customizing proposals that precisely align with partner and client requirements and clearly communicate our value proposition.
- Review incoming proposals to determine if they align with the company's capabilities and objectives. Ensure all necessary parties have reviewed and understand risk and proposal outcome results.
- Support the preparation, content relevancy, completion, and delivery of proposal response documentation for standard and E-Rate offers.
- Assist Accounting team with tracking efforts for e-rate funding.
- Collaborate with cross-functional teams to gather essential information, insights, and data to develop comprehensive and compelling proposals.
- Assist in maintaining proposal content libraries and templates to ensure efficiency in the proposal creation process.
- Participate in efforts to continuously improve and standardize the proposal creation process to enhance productivity and quality.
- Coordinate meetings with various departments to gain a better understanding of specific products, processes, or requirements for accurate documentation.
- Contribute to assessing the audience's needs, helping adjust the tone and technical terminology for maximum comprehension.
- Contribute to planning, managing, and adhering to timelines and deadlines to ensure projects are completed on schedule.
- Provide support for proposal after-action reviews and contribute to process improvement.
- Assist in soliciting and collecting feedback from both internal and external stakeholders to improve technical documents and content.
- Help evaluate content, both technical and non-technical, generated by other organization members and make necessary edits to ensure precision and clarity.
- Additional Responsibilities:
- Collaborate with and provide support to all members of the Partnerships, Enablement, and Programs team.
- Be adaptable and assist with special projects as needed in an ever-changing environment.
- Be willing to take on additional responsibilities as assigned.

- Strong writing, editing, and communication skills.
- Strong organizational and time management skills.
- Proficiency in MS Word, Excel, PowerPoint, Teams, Adobe Acrobat Pro, etc.
- Proficient writer with demonstrable experience using proper grammar, sentence structure, punctuation, spelling, etc.
- Willingness to learn and adapt to proposal management tools and software.
- Ability to collaborate with cross-functional teams and contribute to the proposal creation process.
- Attention to detail, problem-solving skills, and a proactive mindset are highly valued.
Our ideal candidate would also have the following preferred experience and/or skills:
- Associates degree in English, Communications, Technical Writing, or a related field, is preferred.
