Job Description:
This position is responsible for advancing the mission of the School of Veterinary Medicine through effective administrative support and communication. The Executive Assistant performs a wide variety of technical and/or confidential administrative duties for the Senior Associate Dean.
Job Responsibilities:
75% - Provide Executive level administrative and managerial duties supporting the Senior Associate Dean's and Academic (faculty) operations; organizes and maintains the calendar for the Senior Associate Dean via the University's electronic mail and communications software; preparing reports, documents, and other correspondence; developing and editing documents; establishes priorities and schedules appointments, engagements, conferences and meetings; coordinates with individual participants schedules and, if necessary, arranges time changes convenient to all participants; arranges meeting facilities, food and drink when requested, and special transportation and parking. Conducts business operations, streamline, digitize and increase the virtual experience. Drafts correspondence and responses to inquiries of the Vet Med. Schedules interviews of candidates/guests to Vet Med when directed including arranging travel, hotel accommodations and compiling itineraries. Follows-up on implementation of these itineraries within and outside the Vet Med. Disseminates correspondence and directives of the Senior Associate Dean relative to administrative matters. Works to develop process improvement to facilitate communication across all stakeholders.
15% - Manages the day-to-day operations of the Senior Associate Dean's office including but not limited to sensitively and confidentially documenting/responding to inquiries through e-mail, phone, and walk-ins; Provides documents to Senior Associate Dean for signature and scanning documents. Scheduling group meetings for office personnel. Assists year coordinators on an as needed basis. Develop best practices protocols and workflow processes to support collaboration and communications from all stakeholders to the Office of Veterinary Education. Maintains positive working relationship between the office of the Senior Associate Dean, the LSU Vet Med departments/unit heads, LSU Vet Med business office, and LSU administrators inside and outside LSU Vet Med.
5% - Events: Supports the Educational Office in student and faculty teaching events. Works with the Dean's executive assistant on the Vet Med calendar.
5% - Other duties as assigned.
