Position Summary:
The Senior Specialist, Marketing Operations, reporting directly to the Vice President of Marketing, will be responsible for several key functions. The role will include planning and managing meetings and congresses, collaboration with internal stakeholders to identify logistical needs, and adherence to event budgets. This role will also provide onsite support to ensure meetings and conference operations run smoothly. Additional responsibilities include monitoring marketing material inventory and printing, managing the speaker bureau vendor, handling Statement of Work (SOW) and contract management, assisting with budget oversight, and serving as the project manager for commercial and marketing team meetings.


Essential Job Functions and Responsibilities:
These may include but are not limited to:

  • Review meeting and conference contracts and purchase requests, including tracking against approved event budgets.

  • Manage and execute meeting and conference logistics, including but not limited to registration, attendee communications, air/ground travel, rooming lists, food and beverage requirements, meeting space and audio-visual requirements, and group activities.

  • Oversee and execute logistics for field sales sponsorship, exhibit, booth display and advocacy request processes for regional exhibits and patient advocacy events, which require data input and follow up.

  • Responsible for pull through and execution in managing external vendors, including hotels/venues, destination management companies, and other logistical vendors to ensure deliverables and timelines are successfully met to expectations.

  • Ensure successful execution of meetings onsite working with internal stakeholders and vendors who provide support for meeting planning.

  • Act as the key contact for the meeting attendees and respond to inquiries, provides resolutions, and manages change requests.

  • Collaborate regularly with cross-functional stakeholders with a focus on relationship building, customer service, and problem solving.

  • Develop status reports, pre- and post-event surveys, and metrics tracking to identify trends and recommend process and service improvements.

  • Manage materials warehouse vendor to ensure all marketing materials are up to date, printed and available for shipment to sales team. 

  • Logistic oversight of marketing and commercial team’s meetings.

  • Manage the company’s speaker bureau vendor to ensure flawless execution of sales team speaker programs.

  • Assist team with SOW approval, contract management, and budget tracking.

  • Cross functional collaboration between Medical Affairs, Sales, Market Access, and Marketing to streamline and have working knowledge of the content in the creation of PowerPoint deck materials. 


Education and Experience:

  • Bachelor's degree with a related marketing or business management degree.

  • 5 years of pharmaceutical marketing coordinator experience

  • Strong project management and budget management experience

  • Strong collaboration skills, both within commercial teams and cross functional teams including Medical, Access, Finance, Legal and Regulatory

  • Proven communication and presentation skills. 

  • High level of accuracy and attention to detail in all tasks

  • Strong problem solving and conflict resolution abilities

  • Excellent listening, and verbal and written communication skills

  • Ability to effectively manage multiple projects and vendors

  • Demonstrated proficiency in Adobe Acrobat and Microsoft Office, including Microsoft Word, Excel and PowerPoint


Physical Demands and Work Environment:
Physical Activities: On a continuous basis, sit at desk for a long period of time; intermittently answer telephone and write or use a keyboard to communicate through written means. Some walking and lifting up to 25 lbs. may be required
