Description
The Human Resources Assistant provides administrative support to human resource functions including but not limited to recruiting, benefits, training, and employee records.
Key Responsibilities
- Supports recruitment effort for open positions including but not limited to: posting jobs, phone screenings, and coordinates interviews during recruiting seasons
- Prepares paperwork packets for new hires and follows up on outstanding documents.
- Assist in preparing PAFs and ensuring all required information is provided and accurate; returns incomplete PAFs to hiring manager; forwards complete PAFs to HR Manager for signature.
- Assist in the tracking and administration of the learning management systems. Sets up new and existing employees in training websites.
- Prepares and maintains employee, benefits, and training files, both hard copy and electronically. Weekly filing of employee documents in files.
- Runs monthly/quarterly reports and queries (birthdays, anniversaries, DMETrain).
- Performs the monthly OIG Exclusion reporting for all employees.
- Maintains HR bulletin boards, ensures required postings are kept current. Maintains SharePoint to update per State on new or current law changes.
- Participates on our Wellness and Safety Committees.
- Responds to employment verification requests.
- Maintains strict confidentiality of all records, transactions, and employee information at all times.
- Exhibits a positive, supportive attitude and works well with others in a professional, respectful manner at all times.
- Performs other related duties as assigned.
Requirements
Experience / Qualifications
- Requires a minimum of 1-2 years’ experience in Human Resources or an equivalent combination of education and experience.
- Intermediate skills in the use MS Outlook, Word and Excel and PowerPoint.
- Experience working with payroll, benefits and/or recruitment is highly preferred.
- Experience working with a Human Resource Information System (HRIS) desirable.
- Working knowledge of federal, state, and local tax, labor laws and legal compliance.
- Knowledge of filing, record keeping systems, and ability to use standard office machines.
- Ability to make appropriate recommendations and decisions.
- Excellent interpersonal skills; verbal and written communication skills.
- Must be resourceful, meticulous and have the ability to maintain strict confidentiality.
- Ability to work independently and in a team environment.
- Strong organizational skills, detail orientation, self-motivation, and dependability.
- Must be creative, energetic, and results driven.
- Must serve as an example to all employees by adhering to and encouraging others to comply with all legal and compliance related rules and regulations at all times.
Physical Requirements
General office environment that will include frequent or continuous periods of talking, sitting, fingering, repetitive motions of the hands/wrists, reaching, grasping, and handling. This position also requires occasional bending, squatting, standing, and walking. Pushing, pulling, lifting, and carrying of up to 20 lbs. is required on an occasional basis. Good general vision and hearing are needed.
