About the role

Random House Children’s Books (RHCB) is looking for a highly organized Administrative Assistant to join the team and provide support to the SVP, Publicity, Communications & Author Brand Strategy, as well as the VP, Executive Director, Publicity and Media Strategy. This is an exciting opportunity to join a team that works directly with the authors and illustrators of Random House Children’s Books to develop and execute media and event strategies in support of our books and brands.

 

This Administrative Assistant will play a key part in supporting the overall operations of the Publicity team, and communications initiatives for the RHCB division. This role reports to the SVP, Publicity, Communications & Author Brand Strategy. In this position will get to know and work with all members of the Publicity team.

 

Core Publicity functions include,  

 

  • Providing day to day administrative support to high-level managers, including managing their calendars, coordinating all meeting requests, scheduling department meetings, meetings with external partners, and assisting with meeting planning and preparation.
  • Recording and distributing notes from various weekly and monthly meetings.
  • Planning and executing division-wide social gatherings.
  • Assisting the publicity team with media mailings.
  • Overseeing various department operations including team training documents, team calendar, budget and invoices, subscriptions.
  • Serving as the point person for the department on general inquiries.
  • Oversee upkeep of physical publicity team office space, ordering books/supplies as needed, managing book displays, assisting with in-person meetings etc.
  • Submitting RHCB titles to trade media for review consideration, and monitoring requests/consumer reviews on NetGalley.
  • Providing additional support for Publicity team as needed, including tracking media coverage and awards, researching media and event venues, drafting press materials and itineraries, distributing reviews, database updates, creating presentation decks.

Core Internal & Division Communications functions include,

  1. Drafting, editing, and distributing internal communications.
  2. Supporting staff-led internal comms committees
  3. Managing upkeep and development of internal communications resources
  4. Seasonal Town Hall meeting development and support
  5. Responding to and managing logistics for RHCB donation requests and philanthropy

 

This is a NY-based in-office position (with selective remote work).

 

Qualifications & Skills

 

  • Prior office experience; a minimum of two years of related experience
  • Excellent time management skills, and able to prioritize and multi-task
  • Exceptional communication & writing skills; both verbal & written are essential
  • Professional and friendly manner on the phone, over email, and via other written correspondence is a must
  • Ability to communicate effectively with employees across all levels of an organization
  • Able to work well under pressure and handle multiple responsibilities in a fast-paced environment
  • Ability to handle confidential and sensitive information with discretion
  • Demonstrates a creative, innovative, and resourceful approach to problem-solving
  • Strong computer skills: proficiency with Microsoft Word, Excel, PowerPoint, and Outlook are required

 

 The salary for this position is $48,000.00. All positions are currently eligible for annual profit award or bonus, subject to company results. 

 

 This hybrid role is based in New York City and will require someone in commutable distance to manage and provide support for in-house events, complete media mailings and manage office admin for the team.
