Position Overview: The Office Coordinator oversees daily workplace operations and facilities coordination for the Poland office. Reporting to the Facilities Manager – EMEA, this role ensures compliance with Polish and EU workplace regulations while maintaining alignment with global facilities standards. This role serves as the primary local workplace contact for employees and visitors.

Core Responsibilities

Front Desk & Workplace Operations

• Manage visitor check-in and access procedures.

• Provide daily workplace support and coordination.

• Ensure office spaces are maintained and professional.

• Support meeting room logistics and employee requests.

Vendor & Facilities Support

• Coordinate with local building management and service providers.

• Track and escalate maintenance issues.

• Monitor supply inventory and service performance.

Regulatory & Compliance Execution

• Ensure adherence to Polish and EU workplace safety regulations.

• Maintain documentation for inspections and audits.

• Support emergency preparedness and safety initiatives.

• Escalate compliance concerns to EMEA Facilities Manager.

Administrative & Operational Support

• Assist with vendor invoice documentation and procurement workflows.

• Maintain organized facilities and compliance records.

• Support local office events and engagement initiatives.

Qualifications

• 3–6+ years of office coordination or facilities support experience.

• Experience in corporate office environments preferred.

• Strong organizational and interpersonal skills.

• Familiarity with EU workplace compliance standards preferred.
