Who we are looking for:

Slate is looking for a dynamic, experienced Experiential Marketing Coordinator to join our growing team. Reporting to the Experiential Marketing Manager, this position will be responsible for overseeing & managing the planning and execution of a full calendar of events including lifestyle events, automotive-industry events, commercial events, and corporate events. The ideal candidate will be hands-on & excellent at juggling multiple tasks and projects simultaneously. The position can be fully remote with up to 50% travel for events.

This role will be responsible for tracking event program budgets, managing contracts & sponsorships, handling marketing and creative for events, building and delivering KPIs, and managing vendor and supplier partners.

Responsibilities:

  • Operating as a player/coach driving events and guiding team members to flawless execution, quality of service, and timely delivery of all necessary components and materials for each event.
  • Maximize brand and customer impact through close collaboration, ideation, and coordination with extended marketing team, commercial, and product teams.
  • Communicate effectively with cross-functional stakeholders including the leadership team.
  • Oversee all aspects of the event lifecycle from initial planning to post-event follow-up to ensure brand consistency.
  • Collaborate with the growth marketing team to integrate marketing campaigns & plan promotional activities across events.
  • Define and monitor key performance indicators (KPIs) that align with company goals and strategic marketing initiatives. Share regular reporting with manager.
  • Provide guidance to internal teams & partners to ensure clear roles and responsibilities, act as the go-to for problem-solving and delegation of event duties.
  • Build and maintain relationships with partners, event promoters, and external agencies. Strategically negotiate contracts and agreements to ensure cost-effectiveness and efficient event execution.
  • Maintain and manage a network of vendor partners to assist with various aspects of event management; working directly with hotels, meeting venues, AV and other services as required.
  • Work closely with teammates for all event operations needs including lead management, asset planning, logistics, technology, garage services, etc.
  • Ensure brand messaging is compliant and coherent with brand book at all events & within all supporting marketing materials.
  • Provide a fresh & innovative perspective on creating memorable customer experiences.
  • Host brainstorms with greater marketing team and conduct research to continuously generate new ideas for events.
  • Create and maintain all event-related paperwork and stay on-top of tasks within project management software. Paperwork could include sponsorships, contracts, travel accommodations, timelines, run-of-shows, budget trackers, RFPs, quotes, invoices, to list a few.
  • Compile, organize & maintain annual event calendar with timelines and budgets.
  • Assist with development of overarching events strategy and ensure individual event plans align and ladder up to goals. Identify events that align with strategic objectives and make recommendations regarding which events we should attend and why.
  • Help with the creation of supporting marketing materials for events. Provide details, imagery, links, etc. to the creative team to ensure they have all the information they need.
  • Act as the on-site event lead for events, as assigned or required. Manage the set-up, tear-down and execution of the event.
  • Create various event training decks and host training sessions for employees and contractors.
  • Contribute to the creation of an event emergency action plan and upload safety standards at all events.

What you bring to the team:

  • Educational Background: minimum of a high school diploma, college degree not required but preferred.
  • Work Experience: a minimum of 3-5 years of experience in event planning, experiential marketing or a similar role.
  • Technical Skills:
    • Proficient in Microsoft Office Suite.
    • Experience with project management software.
    • Bonus points for experience with event layout or similar software.
  • Previous project management experience in marketing or similar discipline.
  • Excellent communication skills because this role will be working with many internal stakeholders as well as contract staff.
