About the job
Provides administrative assistance to direct report, to include coordination of activities with other departments and personnel to support function in meeting the company goals and objectives. May perform function for more than one executive:
- Coordinate HO’s schedule and travel arrangements.
- Organize meetings, to include meeting conference room both on and off site, logistical support (for example: refreshments and supplies, monitor, etc.) for meetings. May negotiate hotel room and conference room for special events.
- Anticipate HO’s needs regarding support, logistics and follow up; plans and executes same.
- Perform duties of confidential nature.
- Excellent collaborator and cross-functional liaison between multiple departments.
- Facilitate and manage heavy data analytics, designs, budgeting, tracking, etc.
- Compile exquisite presentations that are branded and based on a variety of topics, data, and cultural milestones.
- Respond to and/or coordinate calls and general inquiries to maximize HO’s organizational effectiveness with their team and business partners.
- Drafts a variety of correspondence based on gained knowledge of organization, function, as well as any relevant organizational milestones. I.e. newsletters, new hire announcements, townhall communications.
- Maintain functional effectiveness by proofreading, and distributing memos, documents, and correspondence for related issues.
- Gather and coordinate billing and expense reports with finance department ensuring accurate documentation and records.
- Coordinate, inputs, compiles data and generates reports based on functional needs.
- Maintains Employee Attendance/Vacation calendars.
- Maintain any digital filing and organizational needs.
- Order office supplies and equipment, as necessary.
- Coordinate activities of office with functions and departments.
- Communicate daily both orally and in writing with outside vendors, employees, and coworkers.
About you
We are looking for a unique and amazing talent, who brings along the following:
- Minimum 2 years of professional experience in a similar role within an international setting.
- Excellent troubleshooting skills.
- Oral and written communication skills are necessary, including skills in Microsoft Suite, i.e. Word, Excel (pivots & v-look ups are a must) Teams, Forms, Workday, budgeting, report creation and or process enhancement.
- General project management; operation of a variety of office equipment; follow through; coordination, consolidation, and organization of clear and comprehensive data.
- Understand details and processes involved in order to impact the bottom line and big picture.
