Job Description

The Accounting Specialist obtains appropriate supplier documentation and adds/maintains all suppliers in Workday and the State of Kansas system for all departments on campus.  This position also assists with overseeing capital assets and management of procurement cards.  Additionally, the position provides support in account reconciliation, processes mileage payments, and distributes FHSU general mail.  This position requires the ability to multitask and have strong written and verbal communication.

Minimum Qualifications:

  • High School Diploma, or equivalent

  • Three years of related professional experience in an accounting or bookkeeping position or a Bachelor’s Degree

Preferred Qualifications:

  • Bachelor’s Degree in Accounting, Finance or a related field

  • More than three years of related professional experience in an accounting or bookkeeping position

  • Experience with W-9’s

  • Microsoft Excel experience

  • Customer service experience

Appointment Date: Start date to be determined after acceptance of an offer and completion of a criminal background check.

Responsibilities:

  • Enter all suppliers into Workday and State System.
  • Collect W-9’s/W-8BEN’s and review for accuracy from all suppliers, students and candidates receiving payment or reimbursement.
  • Collect Direct Deposit information, per State guidelines, from suppliers, students and candidates receiving payment or reimbursement and submit it to State of Kansas.
  • Review supplier invoices and expense reports for accuracy of supplier information and payment handling.
  • Distribute FHSU general mail.
  • Work with capital assets, projects and depreciation.
  • Perform annual capital asset audit, coordinate yearly inventory certifications, place stickers on assets, and process DA-110’s and transfers.
  • Process bi-weekly mileage payments for the Foster Grandparent/Senior Companion Program.
  • Compiles reports to verify the accuracy of the daily integration file of receipts to be sent to the State of Kansas.
  • Back up for management of procurement cards.
  • Aid in reconciliation of FHSU funds with State funds.
  • Greet individuals coming to the Business Office.
  • Order supplies for the Business Office.
  • Create supplier payments in Workday for the Business Office.
  • Other duties as deemed necessary.
