About the role

The School of Advanced International Studies (SAIS) is seeking a Sr. HR Coordinator (Student Employment) to provide support for its student employment program. This position is responsible for HR issues that go beyond routine and will serve as the primary point of contact for department/divisional personnel/payroll issues related to student employment. The position will partner with departmental and central student employment leaders and SAIS Student Affairs to interpret policy and procedures, and work with senior management to establish departmental/divisional practice within JHU guidelines on student employment.


Specific Duties & Responsibilities

  • Develop and review student job descriptions with supervisor/manager/faculty and suggest changes based on understanding of area and need. Submit position requests through the required divisional review and approval workflow.
  • Upon financial approval, submit requisition to online student employment job posting system (SMILE) and ensure accurate posting.
  • May conduct preliminary candidate interviews and collaborate with Hiring Managers to facilitate the hiring process.
  • Participate in creating/developing department/divisional student employment orientations. May deliver training.
  • Oversee the general onboarding process for student employees and work to ensure payroll system and new hire data accuracy.
  • Facilitate general human resources questions for the department and escalate concerns or more complex inquiries for central support and resolution.
  • Provide guidance and make recommendations on appropriate starting salaries and promotional salaries for students to ensures equity, in collaboration with the HR-Compensation team.
  • Support departmental review and approval process related to time off, payments, timely terminations and transaction processing and other payroll and leave related logistics for students and postdocs.
  • Support departmental leaders with general employee relations needs, including gathering information to support investigations, performance challenges and all related student employee management efforts.
  • Provide general HR guidance to managers and staff within the department or designated area of responsibility.
  • Perform other related duties as requested.


Student Employee Program Management

  • Oversees the onboarding of SAIS student employees and processes all student new hire paperwork. Develops and presents student employment orientation sessions including an overview of general learning goals and objectives related to student employment, conducts training sessions for supervisors particularly on time and attendance for students and managing student employees.
  • Works with OIS and HR Compliance to monitor status of work authorizations for international student employees and coordinates any SAIS requirements for Optional Practical Training (OPT) or Curricular Practical Training reports.
  • Tracks student employment records and maintains accuracy. Processes annual PhD student stipend payments and issues PhD students in the bargaining unit supplemental employment letters as needed for additional jobs.
  • Monitors PhD student work hours to ensure compliance with the bargaining agreement.
  • Coordinates with hiring managers and unit administrators on employment terminations for students as needed and performs full termination of student positions at the end of the academic year. Coordinates with hiring managers in early Spring to establish the need to retain student employees during the summer months.
  • In conjunction with Financial Aid, maintains accuracy in monitoring monthly earnings of students in the Federal Work Study (FWS) program and notifies supervisors of eligible hours available.
  • Manage the online student employment job posting system (SMILE) and assist supervisors with the job posting process; review and develop student employment position descriptions as well as job responsibilities, ensuring quality work experiences for students, which complement and enhance students' academic and/or professional goals. Ensure position postings meet federal and local employment law requirements. Assist HR Manager with developing student compensation guidelines to ensure equitable pay practices for student jobs.
  • Develops and updates student employment manuals, orientation packets, student and supervisor handbooks; monitors program compliance on the applicable local, state and federal laws, policies, procedures and regulations and Hopkins Student Employment policies.
