The impact you will have in this role:
The Executive Assistant (EA) is responsible for providing general support to the Managing Directors (MDs) of Global Business Operations. This requires strong interpersonal, organizational, and time management skills, as well as a strong attention to detail and a high level of accuracy. While supporting the MDs and the Global Business Operations Team, the EA will regularly collaborate with partners, other department leaders, business leaders and colleagues across the firm. The EA will be personable, professional, flexible, and able to maintain a high degree of confidentiality.
Your Primary Responsibilities:
- Manage complex schedules in Outlook across multiple time zones for busy executives and professionals
- Provide comprehensive support to project teams including facilitating meeting schedules, compiling and distributing meeting minutes, tracking project deadlines, and following up on action items
- Prepare project-related documents including operational management reports, presentations and other documentation needs to ensure smooth and efficient project execution Use Word, Excel, and PowerPoint to create, edit, format, and proofread letters, presentations, surveys, emails, reports and other documents effectively
- Schedule and coordinate internal/external meetings with other executives, partners, lawyers, and business services colleagues. Coordinate meeting logistics, including but not limited to agendas, conference calls, Zoom and MS Teams video conferences and conference room bookings
- Maintain the department’s invoicing, track expenses, and create expense reports, as well as maintain other confidential files
- Collaborate with assistants in all areas of the organization to handle logistics for internal and external meetings, projects, and special assignments
- Liaise with Relationship Partners, Business leaders and potentially external guests and clients
- Assist in planning and staffing events that may occur before, after or during business hours
- Coordinate domestic and international travel arrangements for team members, including the timely preparation and submission of expense statements

Qualifications:
- Minimum 5-7 years of demonstrated experience supporting C-Suite executive(s) and/or senior management in a fast pace, mid-to-large sized legal or other professional services organization
- Ability to work both before and after standard work hours as needed
- Bachelor’s degree (Required)
