About the role

In this role, you will support the NUMO team in two key areas. First, you will be responsible for managing the team’s finances and grants and ensuring that WRI’s processes and systems are adhered to. You will also be expected to support the team to help prepare budgets for fundraising efforts. The second aspect of this job includes providing general team support and coordination. This includes supporting team retreats, travel, and workshops. Report to NUMO’s Director. You will be supported by the Cities Grants & Finance manager and the financial operations team.Job Responsibilities
NUMO alliance Team Support & Coordination (30% of time)- Organize, conduct, and coordinate follow-ups from weekly team meetings.
- Keep NUMO/SMP metrics and team calendars accurate and up to date.
- Maintain and respond to relevant inboxes and website inquiries.
- Coordinate logistics (including venue, catering, equipment, and materials), for NUMO meetings and workshops.
- Coordinate event participant travel, accommodation, and per diem support, including the proper documentation and compliance with any grant terms.
- Update and maintain new hire staffing information with operations.
- Provide timesheet guidance to team members bi-weekly.
- Learn how to update and maintain single project budgets utilizing WRI’s budgeting and forecasting software (TM1).
- Learn how to develop proposal budgets and assist in the collection and submission of formal proposals for team fundraising efforts.
- Assists project team in preparations for and implementation of the annual Cost-Planning process.
- Responsible for less restrictive funding and/or simple donors. Prepares and assists on financial reports to donors, under supervision.
- Regularly reviews, updates, and monitors all transactions, commitments, and revenue prospects for designated team projects including monthly-close, revenue allocations, partner/grant invoices, subgrant reporting and request for payments. Helps track revenue commitments, under supervision.
- Coordinates and assists team monthly on budget management and supplies financial review template for review with director and operations staff, under supervision.
- Follows WRI’s internal processes and deadlines related to funding and expenses, including preparations for quarterly reviews, monthly & annual closeouts, and fiscal year forecasting.
- Learn how to process documentation for project commitments (agreements, contracts, work authorizations, and purchase orders), under supervision.
- Informs project management team on guidance for partner organizations and consultants by providing documentation for them to review to help them understand and comply with subgrant and contract requirements in accordance with funder policies.
- Learn how to support donor and grants management by keeping database software (Salesforce) and SharePoint folders up to date, including proposal fundraising opportunities.
- Assists project managers to understand reporting requirements required by donors.
- Education: You have completed a bachelor’s degree in Finance or related fields
- Experience: You have a minimum of 2 years of full-time relevant work experience in administrative tasks and finance
- Experience with grants management and project budgeting
- Languages: Verbal and written English proficiency required.
- Requirements: Existing work authorization is required where this position.
