As the Senior Executive Assistant, you will directly support the CEO as a key member of the Office of the CEO. In this role, you are responsible for providing administrative and organizational support to the CEO. The role requires exceptional multitasking abilities, problem-solving skills, and the ability to operate in a fast-paced and high-pressure environment. The Senior Executive Assistant will be a key partner to the CEO, understanding their priorities and ensuring they can deliver on them by managing their calendar, coordinating meetings, and planning events owned by the Office of the CEO.
As a Senior Executive Assistant at Maven, you will:
- Own the CEO’s calendar: understanding priorities, managing all scheduling and travel arrangements. Maintain excellent calendar hygiene and proactively handle changes
- Act as a key partner in managing the CEO’s time by proactively identifying tasks to delegate or eliminate, ensuring optimal focus on priorities
- Serve as the first point of contact between the CEO and internal/external stakeholders, ensuring timely, clear, and professional communication. Critical to be able to partner with key stakeholder teams to meet business objectives (e.g. recruiting, sales coordination).
- Plan events for executives’ teams and Office of CEO, including but not limited to, onsites and offsites, team building events, executive dinners, team celebrations, etc
- Manage all aspects of travel for the CEO, ensuring smooth experiences, including flights, hotels, passport renewals, and ground transportation
- Help with other logistics for CEO including drafting communications and owning follow-ups, managing expense reports ensuring on-time submission
- Manage EA team and provide back-up support as needed
- Act as an on the ground representative for the CEO, elevating concerns and risks
- Assist with the coordination of special projects on behalf of the Office of the CEO
- Provide occasional personal work support to our CEO, which could take about 10-15% of your time (e.g. doctor appointments, school meetings, vacations)
We’re looking for you to bring:
- Minimum of 7-10 years of experience as an Executive Assistant, supporting C-level executives, ideally with experience managing EA teams
- Proven ability to work in fast-paced environments, adapting quickly to changing priorities with exceptional organizational skills and attention to detail.
- Excellent communication skills across various platforms (in-person, email, Slack) and audiences.
- Demonstrated ability to prioritize effectively and anticipate needs ("see around corners").
- Problem-solving mindset with a proactive approach
- Displays exceptional judgment —comfortable asking questions to ensure tight alignment at all times
- Trustworthy, reliable, and able to maintain high levels of confidentiality.
- Experience with event planning and coordination.
