The HR Administrative Assistant is responsible for the administrative support of day-to-day Human Resource operations. This position assists with various functions, including but not limited to database management, running reports, creating ads, flyers, and announcements, putting together the Resort's newsletter, and ordering office supplies. This role is a key support for the HR team and helps with special projects when needed, all while maintaining a high level of confidentiality.

ESSENTIAL FUNCTIONS
- Provide comprehensive administrative support to the HR department, assisting with daily operations and special projects.
- Manage HR inquiries by serving as the first point of contact for employees and applicants. Answer questions regarding company policies, benefits, and hiring processes, and redirect more complex issues to the appropriate HR staff.
- Support recruitment efforts by assisting with creating social media ads and providing backup for quick-hire appointments.
- This role supports the Benefits Specialist by managing employee email communications, acting as a backup for reconciling and paying benefit vendor invoices, and auditing benefit data and forms for accuracy and compliance.
- Proactively managing ACA compliance by auditing employee average work hours to identify those approaching or falling below the threshold for benefit eligibility. Consults with managers to determine if an employee's status needs to be officially changed to full-time or part-time.
- Maintain and audit HR records, this includes tracking and managing employee files (scanning and purging per record-keeping requirements).
- Process of Personnel Action Forms (PAFs) by completing required checklists and maintaining detailed records in the PAF tracker daily.
- Responsible for the creation and distribution process of the monthly Cedar Session and Wellness Newsletter. This person will collaborate with a committee to plan and research content, interview employees for milestone features, and write and format all articles.
- Prepare and analyze HR reports, correspondence, and presentations for the team. This includes creating and submitting invoices and Requisition for Disbursement Forms.
- Manage internal and external communications for the department. This includes sorting and distributing daily mail and preparing packages for shipment.
- Serve as a resource for employee information by providing requested personnel data to department managers and processing employment and income verification requests from outside parties.
- Attend and support various staff functions, including employee recognition events, educational sessions, and other HR meetings and events.
- Process Wellness and Fitness reimbursement checks.
- Maintain a well-stocked and organized office by ordering supplies, managing files, and performing data entry. Supplies are ordered online or purchased in person from local stores.
- Complete all other miscellaneous and general office duties as assigned.
- Adhere to all general and departmental policies and procedures.
QUALIFICATIONS
- High School diploma or equivalent required
- Three (3) years of administrative experience required, one (1) year professional HR work experience preferred
- Proficient computer skills, including CANVA, Excel, Powe
