- Receptionist Duties:
- Answer and transfer incoming phone calls, take messages, and greet visitors.
- Direct visitors to appropriate locations within the office.
- Manage the facsimile inbox and handle scanning and emailing of letters of credit.
- Conference Room Management:
- Maintain and schedule reservations for small and large executive conference rooms.
- Ensure conference rooms are equipped with necessary supplies and equipment.
- Office and Equipment Maintenance:
- Manage equipment and supplies for the lobby, front desk, and conference rooms.
- Coordinate with vendors and service providers as needed for maintenance and supply replenishment.
- Clerical and Administrative Support:
- Perform various clerical duties as assigned by the Facilities & Administrative Services Manager.
- Assist with the creation of new hire badges, including taking new hire photos.
- Perform data entry, word processing, and manage CDM notifications.
- Additional Responsibilities:
- Support other administrative tasks and special projects as required.
- Adapt to changing priorities and take on other duties as assigned.
- Education: High school diploma or equivalent; additional relevant certification or coursework is a plus.
- Experience: Previous experience in a receptionist or administrative support role preferred.
- Skills:
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and multitasking abilities.
- Attention to detail and ability to maintain confidentiality.
- Professional and approachable demeanor.
- This position is fully onsite at our Brookfield, WI headquarters.
- Standard working hours are Monday through Friday, 8:00 AM to 4:30 PM.
- Flexibility in hours may be required based on business needs.
