Job Summary:The Administrative Assistant is responsible for managing front-line communication and providing vital administrative support. This Administrative Assistant role involves handling phone calls, greeting visitors, and performing a variety of clerical and office management tasks to ensure smooth daily operations. This position is fully onsite at our Brookfield, WI headquarters. Key Responsibilities:
  1. Receptionist Duties:
    • Answer and transfer incoming phone calls, take messages, and greet visitors.
    • Direct visitors to appropriate locations within the office.
    • Manage the facsimile inbox and handle scanning and emailing of letters of credit.
  2. Conference Room Management:
    • Maintain and schedule reservations for small and large executive conference rooms.
    • Ensure conference rooms are equipped with necessary supplies and equipment.
  3. Office and Equipment Maintenance:
    • Manage equipment and supplies for the lobby, front desk, and conference rooms.
    • Coordinate with vendors and service providers as needed for maintenance and supply replenishment.
  4. Clerical and Administrative Support:
    • Perform various clerical duties as assigned by the Facilities & Administrative Services Manager.
    • Assist with the creation of new hire badges, including taking new hire photos.
    • Perform data entry, word processing, and manage CDM notifications.
  5. Additional Responsibilities:
    • Support other administrative tasks and special projects as required.
    • Adapt to changing priorities and take on other duties as assigned.

  • Education: High school diploma or equivalent; additional relevant certification or coursework is a plus.
  • Experience: Previous experience in a receptionist or administrative support role preferred.
  • Skills:
    • Excellent verbal and written communication skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
    • Strong organizational and multitasking abilities.
    • Attention to detail and ability to maintain confidentiality.
    • Professional and approachable demeanor.
Work Environment:
  • This position is fully onsite at our Brookfield, WI headquarters.
  • Standard working hours are Monday through Friday, 8:00 AM to 4:30 PM.
  • Flexibility in hours may be required based on business needs.
