About the role
Location:
4900 Tiedeman Road - Brooklyn, Ohio 44144-2302Qualified candidate must be able to report to the Tiedeman Offices in Brooklyn, OH at least 2 days per week.
Job Brief:
Provide back-office support across multiple functions in the day-to-day operations of Key Investment Services (KIS) and KeyBanc Capital Markets Inc (KBCM). Position involves working with both lines of business, compliance, along with other back-office teams within the Key.
Essential Job Functions (KIS):
- Process and track both in and outbound account transfers of assets through ACAT and NonACAT systems
- Debit collection coordination including reconciliations of client accounts
- Distribution of client assets upon death notification and receipt of proper documentation
- Processing of written requests from clients. Examples: money movements including Fed Wire, Third Party checks and transfer of client assets to third parties. Including client contact to confirm the validity of the request
- Communicate and follow up on all items that are not in good order
- Account restrictions for death notifications and communication to Advisors, Attorneys, and Beneficiaries/Executors
- Cost basis research and maintenance to client records
- Prepare client communication and documents for outbound mail per industry regulations
- Transfer funds to/from KIS/Keybank per Advisor or Service Center requests
- Monitor Work Basket to complete assigned tasks
- Form processing per department procedures
- Maintain centralized department files per industry and audit regulations
- Make quality decisions in a timely manner; sometimes with incomplete or ambiguous information and under tight deadlines/pressure.
- Self-motivated, flexible, and adaptable individual with the ability to handle changing priorities to support the team as needed
- Ability to prioritize workloads and issues while working independently with minimal supervision.
Essential Job Functions (KBCM):
- Primary support of the daily settlement process for the KBCM Institutional Equity and Fixed Income products using the Pershing NetX360 platform.
- Monitor and resolve all trade comparison and settlement exceptions
- Work daily exception reports accurately and timely; analyze reconciling items to ensure resolution within aging standard time frames.
- Make quality decisions in a timely manner; sometimes with incomplete or ambiguous information and under tight deadlines/pressure.
- Self-motivated, flexible, and adaptable individual with the ability to handle changing priorities to support the team as needed.
- Ability to prioritize workloads and issues while working independently with minimal supervision.
- Develop and maintain relationships with KBCM sales reps and traders to facilitate the timely coordination of work and problem resolution.
- Understanding of MSRB and FINRA regulatory requirements
- Comprehensive understanding of risks and controls.
- Proactively share your knowledge to help others develop and to improve the performance of the team.
- Actively listen to internal/external client feedback and deliver appropriate solutions.
Marginal Job Functions:
- Document and maintain procedures according to process implementation on new systems, including process flows, desktop procedures, and written supervisory procedures.
- Cross-train on many processes and multiple systems to support the KBCM Institutional Equity and Fixed Income sales and trading desks.
- Provide project support duties as assigned by management.
- Institute continuous improvement approaches where appropriate; assess processes and make recommendations for workflow improvement.
Required Skills:
- Bachelor’s Degree or 3-5 years of experience in Brokerage Operations environment
- Understanding of securities practices
- Strong professional written and verbal communication
- Excellent time management skills
- Ability to multi-task, prioritize work and meet established deadlines with limited supervision.
- Demonstrate detail orientation, precision and exactness.
- Strong Personal Computer skills with proficiency in Microsoft Excel and Word.
Preferred Skills:
- Process improvement orientated. Ability to identify and implement improvement opportunities.
- Exhibit a proactive nature and approach to learning, problem identification and resolution
- Self-motivated with a desire to be successful
- Working knowledge of Pershing NedtX360 Platform
- Working knowledge of Bloomberg TOMS
