About the role

Reporting to the Director of Student and Postdoctoral Affairs, the Program Coordinator for Student Engagement and Success will support initiatives and activities related to student engagement and success to act as a key point of contact for routine student inquiries and coordinate routine communications between the Graduate School, and students Support meetings, projects, and events.

  • Provide direct support to members of the GSBS leadership team and the Director of Student and Postdoctoral Affairs on all Office of Student Affairs activities, support activities related to student engagement, as well as data tracking and outcomes measurement of engagement and event initiatives.
  • Respond to and address general Graduate School student affairs inquiries, including email, phone, and in-person inquiries. Route and escalate general inquiries as appropriate.
  • Support student affairs trainings, orientations, presentations, lectures, etc. Announce events, book engagement venues, track attendance and compliance, and support after-event surveys. Support virtual events including programming, information sessions, virtual gatherings, including set up and support (host).
  • Provide support and creative ideas for new training initiatives in the area of well-being, diversity, inclusion, anti-racism, and anti-bias. Support symposia, lectures, and other events to promote diversity, inclusion, and well-being. Support engagements with consultants and vendors to advance this initiative.
  • Coordinate routine communications to Graduate Students. Review GSBS communications for accuracy and policy compliance. Moderate relevant listservs. Review and route correspondence as appropriate.
  • Coordinate updates of student affairs--related web content and other online content. Compile content updates for Student Affairs website and submit changes. Review online content to identify required changes and propose revisions. Edit web content.
  • Under the guidance of the Director, coordinate planning and support for student events such as New Student Orientation, Lab Coat Ceremony, and Commencement. Participate in development of event calendar and newsletter, drafting of communications, promotional flyers and other materials for events, and coordination with vendors. Provide planning and logistical support for routine student-related events. Attend events to coordinate event setup, assist and direct guests, and ensure smooth event delivery and clean-up. Act as a point of contact to vendors and support staff such as caterers and A/V personnel.
  • Submit routine financial transactions such as purchase requisitions, reimbursement requests, and credit card reconciliation for the Office of Student and Postdoctoral Affairs.
  • Monitor levels of supplies, and place orders for the Office of Student and Postdoctoral Affairs.
  • Other administrative activities related to student affairs operations.
  • Bachelor’s degree and at least two years of work experience in higher education or a related field, or equivalent combination of education and experience
  • Strong communications skills; ability to write and proofread written content and engage with teammates and partners across the organization
  • Ability to work independently on event planning and other projects to perform follow-up and see tasks through to completion 
  • Ability to make independent decisions and to identify when problems require escalation to senior staff 
  • Ability to think creatively and envision alternate plans and solutions.
