About this opportunity:

Cenovus is looking for a Senior Administrative Assistant for the Dublin, OH office. Reporting to the SVP, US Refining, this individual will interact as a liaison between staff members and the business by proactively anticipating the needs of the leader and their leadership team. The successful candidate will be responsible for coordinating information, programs, meetings, and managing schedule(s). As well as organize substantial domestic and international travel for the leader(s) ensuring all details are effectively orchestrated and efficiently communicated while managing expenditures. Other takes include but are not limited to conversing executive's time by screening and responding to telephone calls and e-mails on behalf of the leader(s), maintaining sensitive and confidential issues and inquiries for the executive, including personnel, wage, budget, and strategic information. You will help coordinate meetings, executive functions, site visits, and special events, including logistics and arrangements.

What you’ll do:

  • Act as the leader's representative internally and externally by initiating correspondence and actions to include composing complex, detailed, and sensitive materials including but not limited to the creation of presentations and reports, company-wide communications, meeting agendas, and meeting minute notes.
  • Provide confidential assistance to the SVP, including file management, mail handling, and calendar management.
  • Lead general office administration tasks, such as coordinating meetings, handling expenditures, and ordering office supplies.
  • Manages logistics and develops content for weekly, monthly, and annual meetings as an active member of the Leadership Team
  • Coordinate travel arrangements, appointments, staff training, and time management
  • Work closely with the Finance Department to prepare and consolidate the departmental budgets, prepare variance reports, review, and analyze monthly P&L statements, reconcile variances, and report findings for executive review.
  • Manages logistics and develops content for weekly, monthly, and annual meetings as an active member of the Leadership Team
  • Coordinate new hires, employee changes, office moves, etc.
  • Assist with administering department budget working closely with Finance, Tax, and other partners.
  • Responsible for completing reports, and expense vouchers, reconciling vouchers to credit card statements, and making adjustments.
  • Navigate through ambiguity and make sound decisions on behalf of manager(s)

Who you are:

  • Must be legally eligible to work in the United States
  • 5+ years’ experience with high-level senior leaders

Preferred:

  • Strong organization skills, with the ability to set priorities, follow up and meet deadlines.
  • Ability to communicate with all levels of the company and external contacts.
  • Excellent proofreading, business writing skills, and presentation preparation skills
  • Ability to work independently in a fast-paced, varied, and diverse environment with changing priorities.
  • Proficiency in Microsoft Word, MS Teams, Outlook, Excel and Macros, Visio, PowerPoint, and SAP (including Manager's Desktop)
