About the role

JOB SUMMARY:  Provide administrative support to Procurement staff.  Responsibilities include supporting field requesters when submitting orders, processing payments, and working with vendors to ensure up to date information is posted on various websites.
  ESSENTIAL FUNCTIONS: 1. Complete administrative tasks and projects as requested to support management staff. Performs with minimum supervision.  2. Process Invoices: Prepare invoice files and ensure accuracy of amounts by matching purchase orders and quotes.  3. Vendor Management: Maintain users lists for all vendors 4. Field Correspondence: Handle inquiries from field and provide guidance and direction as needed.  5. File Management: Maintain files and databases. 6. Other Administrative Duties: Perform various administrative functions including handling of mail, faxes, and telephone calls. Assist with other duties as assigned by management.

  MINIMUM QUALIFICATIONS AT ENTRY  Additional qualifications may be specified and receive preference, depending upon the nature of the position.
  EDUCATION/EXPERIENCE:   • HS Diploma/GED required. • College degree in business or related field preferred. • Previous experience and familiarity with standard concepts, practices, and procedures within purchasing field preferred. • One to three years of previous administrative experience required
  COMPETENCIES: (as demonstrated through experience, training, and/or testing):  • Proficiency with MS Outlook, Word, Excel and Internet required • Operational knowledge of basic office equipment: telephone; fax; printer; copier • Strong customer service and results orientation • Excellent interpersonal skills • Ability to influence and persuade • Good writing skills • Ability to think and organize. Must be able to multitask. Be analytical. Have sense of urgency and excellent time management skills • Ability to Deliver Results with high achievement drive – able to work independently, set and achieve goals, and have strong initiative • Ability to carry out multiple assignments concurrently • Ability to adapt to environmental/organizational changes
  Working Conditions and Physical/Mental Demands: With or without reasonable accommodation, requires the physical and mental capacity to perform effectively all essential functions.  In addition to other demands, the demands of the job include: • Maintaining composure in dealing with executives, clients, prospects, and staff, in group settings and in situations requiring high performance and results. • Must undergo and meet company standards for background and reference checks, controlled substance testing, and behavioral selection survey. • Handling and being exposed to sensitive and confidential information. • Required ability to handle multiple tasks concurrently. • Regular use of vehicle required in the performance of duties. • Regular talking and hearing. • Close vision, distance vision, and ability to adjust focus. • Occasional local and regional/national travel for presentations, meetings, and visits.
