CADDi is searching for an Operations Administrator β someone who will be the central nervous system of our vibrant Chicago office and a key enabler for our rapidly expanding US team. As our Operations Administrator in Chicago, you won't just be supporting; you'll be instrumental in building the operational infrastructure that underpins our success. This multifaceted role demands a proactive approach, exceptional problem-solving skills, and the ability to seamlessly navigate diverse responsibilities.
This role will require being on-site at our downtown Chicago office location Monday-Friday.
Hereβs How You Will Drive Impact:
- Operational Command Center: Be the go-to expert for all Chicago office operations, ensuring a seamless and productive environment. Manage vendor relationships (including building management), maintain essential supplies, oversee mail and shipments, and champion office organization and presentation.
- Sales Force Multiplier: Provide critical administrative and operational support to our high-energy sales team. This includes mastering administrative workflows, managing key documentation (W-9s, POs, invoices), and coordinating effectively with Finance and Legal to accelerate transactions.
- Global Connector: Serve as the vital link to our global teams, facilitating smooth communication and coordination on administrative matters to ensure alignment across our international presence.
- Executive & Recruiting Team Enabler: Provide dedicated administrative support to the leadership and recruiting team with essential tasks, freeing them to focus on strategic initiatives.
- People & Culture Champion: Play a key role in enhancing our employee experience. Assist with the administrative facets of recruiting (scheduling, candidate communication) and spearhead the planning and execution of engaging office events, contributing directly to our vibrant culture.
- Process Architect: Take ownership of documenting and refining internal administrative workflows, identifying opportunities for efficiency gains, and implementing best practices.

Requirements
What You Bring to CADDi:
- Proven Experience: 3-5+ years of high-level administrative or office management experience, ideally within a fast-paced startup or a growth-stage technology company.
- Operational Mastery: Demonstrated ability to manage diverse administrative functions with a keen eye for detail and a proactive approach to identifying and resolving issues.
- Tech Fluency: Advanced proficiency
