Job Title: Administrative Assistant I (64082844)-  

 

Your Specific Responsibilities:This is a highly responsible and independent position supporting the Florida Department of Health- Leon Environmental
Administrator. This position provides independent work in the coordination of administrative tasks and/or assignments that are
complex and diverse in nature.
Work involves the performance of administrative activities and the planning and execution of administrative objectives and
priorities.
The incumbent performs administrative activities, which involve independently planning administrative objectives and priorities.
. The incumbent in this position is responsible for the integrity and confidentiality of data sets under his/her control. Incumbent will
follow appropriate state laws and guidelines, using reasonable judgment when making purchases. Obtain, sign and forward
original purchasing card receipts and any required supporting documentation to the approver. Prepare and track requisitions for
support services using the MyFloridaMarketPlace (MFMP) system. Track vendor usage to assure expenditure limits are not
exceeded.
Serve as PCard holder for major purchases at the direction of the supervisor. Purchasing – Responsible for procuring
goods and services for Support Services and Administration as directed by supervisor and to fulfill the responsibilities outlined in
this position description. Assist in the coordination of activities and vendors contacts for construction and renovation of CHD
facilities. Complies with the provisions of the DOHP purchasing policy and state laws for all purchases.
Submits work orders to the appropriate division for maintenance and repair, to include facilities, computer, telephone, and
housekeeping issues.
Provides specialized or technical assistance to agency administrative official meetings, public functions, and public relation
matters. Assists in sharing of statutory and policy information and correspondence to the community.

The incumbent in this position is responsible for compiling, reviewing, and analyzing data for document preparation; and in many
instances through personal composition, prepares complex technical documents and correspondence. Records, transcribes, and
develops historical archives for official meeting minutes. Schedules and coordinates rooms for meeting and trainings.

Performs special CHD assignments, research, and report preparation. Manages a wide range of correspondence, reports, and
technical information.
Independently composes and/or drafts memoranda and correspondence for signature. The incumbent assists in formulating,
maintaining, and managing Environmental Health Data system.
This position functions as the back-up for maintaining a filing system for all inspections, reports, records, permits, invoices,
complaints and legal proceedings for all environmental health program areas. This position functions as the back-up for inputting
data into the environmental health database (EHD) system and ensuring that environmental health service data is uploaded to the
DOH Program office by the date required.

Serves as an Account Manager for the division verifying cell phone consistency. Coordinate acquisition of cellular phones for all
division staff, research and resolve related problems with phones; coordinate acquisitions of Purchasing cards for all division card
holders; coordinate all issues relative to acquisitions of vehicles, including maintaining files.
Other duties and assignments as requested by the supervisor or director.

 

Required Knowledge, Skills, and Abilities: Use of personal vehicle required. Required to use transit/builder’s level. MUST become State certified in the Food Hygiene program during the probationary period. The Incumbent will obtain Onsite Treatment and Disposal Systems certification within 1 year from hire. Knowledge of terminology, principles, and analytical techniques of physical/natural sciences. Knowledge of data collection and analysis.
