We are seeking an Office Assistant to join our Internal Medicine and Pediatrics Clinic team at our Fort Atkinson location. This position will be trained to cover all office assistant functions within the Internal Medicine and Pediatrics Clinic.

The Office Assistant - Clinic presents a positive first impression for the patient experience, both telephonically and patient-facing in the clinic setting. The Office Assistant - Clinic is responsible for performing general office functions including greeting patients, answering the phone, registering, and scheduling appointments in a fast-paced environment. The position will travel to and provide services at multiple locations. The Office Assistant - Clinic obtains accurate and up-to-date information for patients' insurance and performs detailed data entry into the Electronic Health Record (EHR).
Responsibilities of this position include:
- Provides seamless care to the patient by communicating effectively with staff, patient and providers, following the RESPECT values. Answers the telephone professionally, takes messages and direct phone calls, based on the clinic process, in a timely manner. Greets all persons entering the clinic and assists based on their needs. Manages the waiting room and updates patients on any delays.
- Collects and enters patient information in the Electronic Health Record in a timely manner to ensure an accurate registration and scheduling process. Enters insurance information accurately to verify and obtain current eligibility. Completes pre-registration duties.
- Collects payments on accounts and insurance co-payments. Creates receipts, reconciles daily collections, and maintains cash drawer according to business office protocols.
- Maintains and monitors the computerized appointment schedule throughout the continuum of care.
- Demonstrates the ability to multi-task with strong attention to detail, while providing service excellence to both internal and external customers. Prioritizes multiple situations, tasks, and requests. Is able to simultaneously navigate multiple software programs.
- Effectively communicates patient messages to other members of the team.
- Communicates with outside provider offices and hospitals to obtain supporting documentation, protocols, and orders as needed or requested.
Requirements of this position include:
- High School Diploma or GED required.
- One-two years of medical office experience preferred.
- Experience with insurance information and healthcare background preferred.
- Ability to establish and maintain effective working relationships with patients, providers, co-workers, and the public. Must be able to read, write, speak, and understand English. Must possess keyboarding skills to perform accurate and detailed data entry.
- Electronic scheduling and registration experience preferred.
- Valid Wisconsin driver’s license an
