Job Description:

The Tecumseh State Correctional Institution (TSCI) is seeking candidates who possess attention to detail, organizational skills and willingness to take on new responsibilities in a position that provides administrative support to the Deputy Warden and other administrative team members.

Internal candidates applying for this role will undergo a salary assessment to determine a starting rate within the range of $13.765 – 19.324/hour, following classification and compensation guidelines.

This position is eligible for an additional $3/hour facility differential for hours worked.

Job Duties:

  • Disseminates information in person, by telephone, email, or correspondence pertinent to the activities of the Deputy Warden to provide requested responses and data to written inquiries, agency employees, and others.

  • Creates and modifies electronic filing and record keeping systems to ensure availability of necessary information and confidentiality of the material.

  • Records, enters, and/or posts information on forms or tables, logbooks, spreadsheets, or databases to maintain a record of the activities or transactions.

  • Create, enter, and scans narrative, numerical, and/or statistical information from rough draft and/or revised typed drafts, documents, electronic communications, or voice recordings to facilitate the processing or documenting of information.

  • Reviews and sends hard copy and electronic mail, form letters, and material relying on established correspondence guidelines and/or supervisory instructions to determine the nature of the request for information pertinent to the TSCI procedures, operations, and priorities.

  • Take and transcribe minutes and dictation from meetings to facilitate the processing of correspondence and/or to ensure that information and topics discussed at meetings are recorded.

  • Operates office equipment such as personal computer, printer and scanning equipment, calculator, fax machine, associated software.

  • Searches for, compiles, and summarizes material from manual and electronic files, documents, electronic communications, and non-agency sources to meet the information needs of the Deputy Warden and facility employees.

  • Orders office supplies and equipment to maintain the office inventory.

  • Check and file/retrieve correspondence, records, reports, and other information using manual and electronic files/databases arranged in alphabetical, numerical, chronological, subject matter, and/or random access order to facilitate the identification, processing, and/or filing/retrieval of these materials, and/or the control of databases or similar archives.

Requirements/Qualifications

Minimum Qualifications: Coursework/training or experience in public contact, customer service, and/or performing and applying office/clerical support procedures, including the use of a personal computer, associated software, and office equipment.

Preferred Qualifications: Experience in Microsoft Office, database systems, operation of basic office equipment.

Other: Applicants accepting a job offer must pass the following pre-employment exams in this order: medical exam, and at a randomly announced time, pass a drug test. Once at the Staff Training Academy, must successfully complete the fully paid NE Corrections Training Program.
