Accountabilities

In Strategy, Business Development & Alliances (SBDA), we are passionate about science and doing innovative deals with a focus on bringing value through our support for the R&D organization. Based in the US and UK, the Business Development (BD) Team is diversely skilled with high energy, ability, and standards. Our sole purpose is to enable our Business Development professionals to focus on evaluating and negotiating deals and have professional industry-leading high-quality interactions with senior leaders across AZ and external collaborators.

As an Administrative Coordinator, you will support the Oncology R&D Business Development & Licensing organization at AstraZeneca. The Business Development function is responsible for proactively scouting and transacting external innovation to augment AstraZeneca Oncology R&D. As a key team member, manage and set up complex meetings for senior partners across multiple time zones, often negotiating extremely challenging diary commitments for leadership team and Executive Team members.

Typical Duties and Responsibilities:

  • Provide direct support to the VP, Head of Business Development and Head of Transactions and secondary support to the members of the BD team.
  • Actively manage the VP, Head of Business Development calendar.
  • Support overall team planning/calendarization of internal activities around key strategic BD partnering meetings and external conferences and speaking opportunities.
  • Respond to complex requests on behalf of senior partners and customers and work autonomously with little or no day-to-day direction.
  • Collation, distribution, and storage of meeting materials such as pre-reads & final slide decks ensuring consistency in document format, file naming conventions, and archives.
  • Manage and maintain key confidential information in an appropriate manner.
  • Work with key collaborators and cross-functional teams to ensure effective scheduling of meetings to support completion of high-value, strategic transactions in a timely manner, including senior AstraZeneca Leadership Team and often at last-minute.
  • Congress tracking | co-ordination and registration across the BD team.
  • Manage and create purchase orders.
  • Arrange travel booking and complete expense reports.
  • As a member of the administrative support community, provide back-up support and other assistance to other administrative staff, including training, and contribute actively to the on-going development and implementation of shared practices.
  • Other ad hoc requests in accordance with business needs across SBDA.

Essential Skills/Experience

  • 5 plus years of administration experience supporting high-level executives
  • HS Diploma or GED required, Bachelor’s degree preferred
  • Extensive experience in dealing with senior internal and external partners
  • Experience in building successful collaborative relationships
  • Ability to think critically, creatively and to anticipate and solve problems
  • Flexibility to readily adapt to changing business needs or project-specific requirements
  • Strong team player who can work collaboratively
  • Proficient in oral and written English and excellent communication skills
  • Experience working with culturally diverse teams in a global context
