About the role

We are seeking a reliable, organized, and compassionate Behavioral Health Outpatient Scheduler to support front desk operations for a large outpatient behavioral health practice in Ocean County, NJ. This role serves to  ensure appointments are scheduled accurately, communication is timely, and client flow is smooth and professional.

$19.00 - $24.00 hourly

Responsibilities:

  • Respond to scheduling assignments, and provide courteous assistance to clients, families, clinicians, and referral sources. 
  • Schedule, cancel, and reschedule outpatient behavioral health appointments while maintaining accurate provider calendars. 
  • Confirm appointment details, communicate changes promptly, and help manage cancellations, waitlists, and urgent scheduling needs. 
  • Collect and update client demographic, insurance, referral, and contact information in the electronic health record or scheduling system. 
  • Coordinate with clinicians and front desk staff to support efficient daily operations and timely access to care. 
  • Maintain confidentiality and handle client information in accordance with HIPAA and agency policies. 
  • Assist with general front desk duties, including check-in support, messages, documentation follow-up, and other administrative tasks as needed. 
  • Provide a calm, professional, and welcoming experience for clients seeking behavioral health services. 

Requirements

  • High school diploma or equivalent required; additional administrative or healthcare training preferred. 
  • Prior experience in medical scheduling, behavioral health, outpatient services, front desk operations, or customer service strongly preferred. 
  • Strong communication, organization, and multitasking skills. 
  • Comfortable using phones, email, scheduling systems, and electronic health records. 
  • Ability to remain professional, patient, and compassionate in a fast-paced environment. 
  • Excellent attention to detail and ability to maintain accurate records. 
  • Knowledge of HIPAA and confidentiality expectations preferred.
