Coordinator-Administrative Executive

Schedule:
Monday to Friday, 8:00 AM – 4:30 PM (flexible start between 7:00 AM and 8:30 AM).
Position Summary:
This role provides high-level administrative and technical support to IU Health Medical leadership, requiring advanced proficiency in Microsoft Office Suite. The ideal candidate will be proactive, detail-oriented, and capable of managing complex tasks with minimal supervision.
Key Responsibilities:
Provide comprehensive support to executive leadership.
Manage complex calendars and schedules, coordinate meetings and events.
Prepare detailed travel arrangements and process invoices and expense approvals.
Handle inquiries and requests with professionalism and discretion.
Maintain accurate office records, files, and resource data.
Prepare reports, manage board documentation, and support budget oversight.
Anticipate and address administrative and technical challenges proactively.
Exercise sound independent judgment and adapt to the specific needs of leadership.
Qualifications:
Bachelor’s degree or equivalent experience required.
5–7+ years of relevant administrative experience.
Experience in a matrixed organization and complex work environments preferred.
Proven experience supporting top-level executives and managing Board of Director materials.
Strong proficiency in Microsoft Word, PowerPoint, and Excel.
Demonstrated ability to analyze and interpret complex data and information.
