V2X is currently searching for an Administrative Assistant in support of our NASA program.

The essential functions of the Administrative Assistant include, but are not limited to, the following duties: 

  • Provide administrative support to program leadership, work to understand and communicate, company policies, procedures, and regulations related to administrative duties
  • Track from pre-planning schedules through preparation for contract submittal the full range of requirements for Government Directed Travel for the two program sites. This will include preparation and routing of approval forms, gathering employee information, booking travel, assisting employees in adjusting travel plans, expense report submittals, and gathering documentation supporting invoicing the government
  • Track cost-reimbursable employee overtime for the three program sites as policy and process requirements. Including preparation of preapproval forms, review of electronic timecards, and preparation of documentation supporting invoicing the government
  • Work independently on projects requiring research and preparation of charts and spreadsheets
  • Maintain and update databases with accurate information
  • Track and follow up on tasks to ensure contract deliverables compliance/timeliness
  • May be required to track monthly Training requirements projected and completed
  • Tracks and coordinates recurring certification requirements.
  • Other related duties as required or assigned.

  • Proactively managing employee relations needs to support an environment of integrity, respect, collaboration, and effective communications
  • Maintain in-depth knowledge of legal requirements related to day-to-day management of employees, reducing legal risks, and ensuring regulatory compliance.
  • Provides retrieval ability to produce employee information for analysis and decision making, statistical data, and other employee-related reports as required
  • Ability to assess various organizational travel programs by governing regulations and to provide planned routine and on-the-spot training on all aspects of V2X employment.
  • Knowledge of DOD Joint Travel Regulations (JTR) policies and procedures.  
  • Knowledge of AD HOC reports and V2X individual and group travel procedures.
  • Knowledge of current relevant guidance including the Joint Travel Regulation (JTR).
  • Functional experience with Microsoft Outlook, Word, and Excel applications.

 

    Qualifications:

    • High School diploma or equivalent, plus (3) years of proven experience in clerical and administrative duties.
    • Proficient in Microsoft Office and knowledge of office management systems and procedures.
    • Excellent time management skills and ability to multi-task and prioritize work.
    • Attention to detail and problem-solving skills.
    • Excellent written and verbal communication skills.
    • Strong organizational and planning skills.
    • Significant strengths in Microsoft Excel and Microsoft Word are preferred
    • Must have, or have the ability to obtain and maintain a valid state driver's license
    • Must meet requirements to obtain and maintain unescorted access to a military base

    Work Environment:

    This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.

     

    Physical Demands:

    This is largely a sedentary role in an office environment; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. Must have close visual acuity to perform an activity such as preparing and analyzing data and figures; transcribing; or viewing a computer terminal.

     

    Position Type and Expected Hours of Work:

    This is a full-time position. Days and hours of work are Monday through Friday; hours are to be set by the Site Manager.
