The Neurology Coordinator we are seeking provides high-level administrative, client communication, and clinical support to ensure continuity of care and efficient operations within the Neurology department. This role serves as a key bridge between clients, Client Service Representatives, specialists, and patient care teams to ensure smooth scheduling, accurate records, and compassionate client experiences.
During high-volume or urgent periods, the Neurology Coordinator also assists the Neurology team on the clinical floor, supporting technicians and doctors with patient histories, chart preparation, and procedure coordination.
Key Points for Our Neurology Coordinator:
Serve as the primary point of contact for Neurology clients, providing clear education on consultations, procedures, follow-up care, and expectations
Triage and respond to client communications (calls, emails, texts, voicemails) with timely follow-up and appropriate escalation
Provide anesthesia preparation instructions, medication refill guidance, recheck scheduling, and hospitalization logistics
Support compassionate, professional conversations regarding prognosis, discharge planning, and next steps
Schedule consultations, rechecks, diagnostics, and drop-offs using EzyVet and confirm appointment preparation requirements
Obtain, organize, and upload medical records, imaging, and referral documentation prior to visits
Prepare complete patient charts in advance, including estimates, consent forms, and supporting records
Coordinate patient transfers, co-managed cases, and same-day emergencies with ECC and specialty teams
Create and manage registration forms, estimates, consents, discharges, and assist with invoice accuracy and payment processing
Track Neurology caseload metrics, cancellations, and pending cases for departmental reporting
Provide hands-on clinical support during high-volume periods, including room prep, patient intake/discharge, safe transport, and ensuring accurate patient documentation
About You:
Minimum of 2 years of hands-on clinical veterinary experience as a Veterinary Assistant or Registered Veterinary Technician (specialty or emergency experience preferred)
Minimum of 2 years of client service or administrative coordination experience
Proficiency with EzyVet
