Description

The Project Supervisor will coordinate and monitor seven projects and the 30 associated staff. All staff are subcontracted to prime contractors/clients with their daily work managed directly by the clients. On six projects the staff support the Centers for Medicare & Medicaid Services (CMS) contracts. On one project, part-time staff support a small (less than 1.00 FTE) State contract. The ideal candidate stays well-informed on the projects and associated staff to reduce the impact of and risks and issues, anticipate any needs, and capitalize on any opportunities. The Project Supervisor reports to a Program Director.

Responsibilities

  • Prepare monthly deliverables, including outlooks/forecasts, status reports, quality management report (to track risks, improvement initiatives, issues & client feedback), and key performance indicator tracking.
  • Attend monthly external meetings with prime contractors/clients to discuss project status and staff, and coordinate to resolve any issues.
  • Lead monthly team meetings for six projects with the project staff.
  • Coordinate backfilling any vacant positions by reviewing resumes, conducting interviews, and recommending candidates for submittal to the client.
  • Lead supervisor portion of onboarding of new staff, including new hire orientation meetings, 30-day and 90-day performance reviews, and any related tasks.
  • Collect monthly feedback on project staff from client managers, document the feedback, and distribute to staff. Address any performance issues with mentoring, counseling, and performance improvement process.
  • Prepare written annual performance reviews and conduct review meetings with each staff.
  • Review and approve weekly employee timesheets and any time off requests.
  • Lead supervisor portion of off-boarding exiting staff.
  • Support staff as needed by responding to questions promptly and assisting them with any project risks or issues.
  • Attend monthly internal supervisory/management meetings.
  • Escalate any risks and issues as needed to the Program Director and Contract Administration Staff.
  • Identify any areas for improvement and make recommendations to increase quality and effectiveness of project supervisory activities.
  • Exercises appropriate discretion and independent judgment relating to company policies and practices in an effective, consistent and professional manner.
  • Adheres to applicable policies and procedures ensuring commitment to quality, compliance and security to protect the confidentiality, integrity, and availability of sensitive data and information.

Requirements

  • Bachelor’s degree in any field (e.g. Communications, Business Administration, Human Resources, etc.) or an additional 4 years of full-time work experience.
  • Project Management certification desirable.
  • 5 years of full-time work experience with at least 3 years of supervisory/management experience.
  • Must be people-centric, empathetic, friendly, a leader and team player.
  • Demonstrated experience working as a lead/supervisor/manager on a subcontract level of a federal government contract.
  • Work experience on CMS contracts is desirable.
  • Excellent verbal and written communication with ability to interact with a wide variety of internal and external staff and stakeholders to ensure timely responses for all communications and deliverables across all projects.
  • Proficient with Microsoft Office Suite, including Word, Excel, Outlook and Teams.
