About the role

This role will ensure the administration relating to all Tenancy compliance obligations and requirements across the Housing services are met, and analyse, coordinate and provide support for the overall housing services team.

The successful candidate will work effectively with internal and external colleagues, and ensure they contribute to enabling the organisation to fulfil its tenancy related compliance, health and safety, and other day to day housing management obligations. In this role you will be responsible for supporting the Housing team in a range of administrative and service led priorities including coordinating, analysing and preparing business intelligence led reports.

You will also ensure the efficient and effective management of information within the housing service which includes maintaining its relevance and accuracy, and assist with retrieval, collation and distribution of tenancy related information in accordance with UK Data Protection regulation requirements.

 

Key Responsibilities

  •  To coordinate and provide a robust administration service to the housing services team in relation to tenancy compliance i.e. actioning fire risk actions, person-centred risk assessments (or personal emergency evacuation plans), gas safety, home visits and tenancy reviews as well as other administrative functions
  • Use and manage systems and spreadsheets containing property, asset and compliance data, tenancy data and provide analysis of data across multiple areas of tenancy management whilst ensuring its accuracy. Ability to present this information through Microsoft Excel tools including pivot tables and bespoke reports
  • Be responsible for the coordination of all requests for emergency housing including in cases of decants, and tracking progress against decant action plans to ensure spend is in line with set budgets
  • Maintain documentation of activities such as complaints received or investigation of outcomes, involving the use of CRM, QLX and shared team folders
  • Collect feedback and collate responses to satisfaction surveys across the Housing services which includes antisocial behaviour, adaptations and Housing services. Assist with the implementation of lessons learned to learning identified from complaint cases
  • Carry out any other duties consistent with the post that may be required from time to time, at the discretion of the line manager

Requirements

Experience

  • Practical experience of working within a Housing Association
  • Working with a variety of internal and external stakeholders
  • Working with change and implementation of improvement
  • Working with data analysis, reconciliation and presentation
  • Working in project management teams

 

Knowledge

  • Have a good understanding of MS Office, particularly Microsoft Excel
  • Understanding how to manage, reconcile and collate data in an effective manner
  • Understanding of tenancy related compliance within Housing
  • Knowledge of housing law, and the landlord responsibilities towards tenants and the wider community

 

Qualifications / Skills

  • Qualification in English at GCSE
  • Have excellent communication and interpersonal skills, which demonstrate behaviours that support great customer service
  • Be highly organised, methodical and analytical with exceptional attention to detail

The salary for this role is £30,700 per annum with up to 10% pension contribution.
