We have an exciting Hybrid opportunity for a highly motivated and experienced Contracts Administrator to join the Commercial Engines Contracts Management Organization (CECMO) in East Hartford, Connecticut!
What You Will Do:
As a Contracts Administrator, you will be responsible for providing administrative support to CECMO, including drafting and management of proposal and contract documents for Commercial Engines & Aftermarket Services sales offerings.
What YOU will do in this role:
Administrative Support -
- Maintain and create appropriate records and filing systems, adhering to Pratt & Whitney policy and CECMO guidelines.
- Leverage Microsoft Dynamics 365 for contract management by using its customer relationship management applications to generate reports, and maintain, update and continuously improve the CECMO contracts database.
- Generate a variety of reports, including aggregating for Accounting and Finance, CECMO’s spreadsheet-based work in progress contracts master list and newly executed contracts list.
- Develop and implement standard work and tools to achieve CECMO objectives.
- Manage shared folders, outlook distributions, and access to CECMO’s databases.
- Document comparison for contract execution; request required internal approvals to apply electronic signatures to contracts.
- Process invoices upon request.
- Back up support on onboarding and offboarding of all new employees and contractors.
- Back up support to the team when submitting expense claims though our SAP Concur expense management tool.
- Drive compliance with department policies and procedures related to document preparation and approval and communication of department and Pratt & Whitney business objectives.
- Contribute to team growth through active participation in improvement initiatives.
Contracts Support -
- Format, proofread and troubleshoot a variety of documents, including contracts, proposals and master text.
- Liaise with various parts of the business including Sales, Finance, Programs and Warranty.
- Develop drafting and customer interaction skills, improve negotiation abilities, and gain international business experience.
- From time to time the successful candidate may be required by CECMO to perform other tasks and/or learn new skills which are not included in the above responsibilities, but are within their capabilities and, where necessary, training will be given.
*NOTE: The tasks are schedule driven and require occasional non-core hours and/or travel.
Skills You Must Have:
- Experience using Microsoft Dynamics 365 CRM applications.
- Excellent computer literacy (Microsoft 365, SharePoint, Zoom for Government.
- Highly organized and efficient.
- Willingness and ability to learn quickly new skills and working practices.
- Experience working with policies and procedures in a compliance driven environment.
Qualifications You Must Have:
- Bachelor's degree and 5+ years of combined administrative assistance and contracts management, or in a position with a focus on contract drafting and negotiating; OR an Advanced degree and 3+ years of combined administrative assistance and contract management, or in a position with a focus on contract drafting and negotiating.
- Must be a U.S. Citizen - this position may require access to systems/tools that are restricted to individuals who possess US citizenship.
