Your Specific Responsibilities:

This position manages the Intake and Administrative Services Unit within the Consumer Services/Compliance Management Unit. The unit is responsible for providing centralized support services functions related to the intake of complaints/reports and administrative services. The unit provides services to the public, licensees, potential licensees, and boards. The employee in this position uses discretion and independent judgment in performing the following duties:

  • Provides supervision to employees processing complaints, reports and distribution to investigators and analysts. Performs supervisory functions to include hiring, and discipline. Provides performance planning and performance appraisals for assigned staff.
  • Serves as Unit Personnel Liaison responsible for processing human resources paperwork, People First Training, attending personnel meeting and other duties regarding personnel duties.
  • Analyze and develop new policies, procedures and other actions to efficiently and effectively implement board, department and legislative directives. Coordinates work systems and business practices and the capacity of the workforce to improve the complaint and report intake and administrative services.
  • Liaison for the MQA Call Center which includes providing training sessions and materials for mailing to consumers.
  • Evaluate employees through established criteria and meets regularly to ensure criteria are met. Responsible for personnel actions concerning hiring, terminations, promotions, transfers, appraisals, and other personnel actions of subordinate employees, or recommends such actions.
  • Plans workloads, workflow, objectives and utilization of employees to ensure maximum use of time and resources. Continuously evaluates the workflow and products to improve the quality and quantity of work performed.
  • Attends meetings per direction of the Investigation Manager. Conducts research and prepares reports for the Consumer Services Investigation manager as needed.
  • Participate in professional development activities, and job-related training and educational courses. Performs related duties as required.
  • Assists in maintenance of enforcement database and personnel issues.

 

Required Knowledge, Skills, and Abilities:

Proficient computer skills to include Word, Excel, PowerPoint and Outlook; knowledge of computer data bases; knowledge and use of the compliance management system and licensing system used by the Agency; knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar; understanding written sentences and paragraphs in work related documents; knowledge of laws, legal codes, court procedures and government rules & regulations; communicating effectively with others verbally and in writing; listening to what other people are saying and asking questions as appropriate; ability to establish and maintain effective working relationships with others; knowing how to find information and identifying essential information; conduct fact-finding research; knowledge of the methods of data collection and analysis; organize data into logical format for presentation in reports, documents and other written materials; developing approaches for implementing an idea; basic management principles and practices; conflict resolution to include handling complaints, arbitrating disputes and resolving grievances; motivating, developing, and directing people as they work, identifying the best people for the job; time management skills; ability to prepare and conduct training; ability to maintain strict confidenti
