PURPOSE: This position is responsible for providing forward-thinking, high-level administrative support to the National Organizing Director, playing a key role in advancing Union priorities and ensuring seamless office operations. The role will also support the leadership body of the Organizing Department by facilitating group scheduling, and meeting prep and follow-up, for the Managing Director and Deputies. The role requires strong judgment, confidentiality, and professionalism, while proactively managing tasks that facilitate key programs and projects. Building positive and productive relationships is essential to effectively supporting leadership and driving organizational goals.

Primary Responsibilities:

  • Manage complex, dynamic calendar for the National Organizing Director, ensuring alignment of schedule to maximize productivity and support key initiatives. Proactively forecast strategic time needed by the NOD and set up schedule to drive her priorities. Ensure all scheduling requests are followed up with reliably and promptly.
  • Support the leadership body of the Organizing Department, including the Managing Director and Deputies, by facilitating group scheduling and Deputy meeting prep and follow up. Track priorities of this body and provide administrative support for key leadership initiatives.
  • Collaborate on critical leadership-level projects, assisting with coordination, tracking progress, and driving completion of executive priorities.
  • Gather and organize relevant information and materials for NOD’s meetings, conferences, and presentations to support the executive team’s strategic objectives.
  • Handle meeting planning, travel logistics, itineraries, and expense reports with precision and adherence to budgetary guidelines.
  • Manage highly sensitive matters and communications with discretion, ensuring that all confidential information is handled with the utmost care.
  • Act as the primary contact on behalf of the NOD for both internal and external stakeholders, fostering positive, productive relationships that reflect the professionalism and values of the Union.
  • Anticipate needs and challenges, offering proactive solutions to keep programs and projects moving forward. Exercise sound judgment in determining appropriate actions, referrals, or responses based on preferences and Union policies.
  • Ensure all duties are performed with a commitment to equity and a racial justice lens, contributing to an inclusive and just organizational culture.
  • Performs other duties and special projects as assigned in support of the program.

  • Carry out other duties and special projects as assigned, with a focus on supporting the Union’s mission and advancing key programs.
  • Provide support to the Organizing Department Operations as needed.

DIRECTION AND DECISION MAKING:
